Position Summary
The Web Manager serves in the Carle Illinois College of Medicine (CI MED) Office of Marketing and Communications as the primary owner and strategic lead for the CI MED web ecosystem. This position is responsible for website page creation, maintenance governance, strategy, usability, accessibility, and day-to-day operation of CI MED websites within the institution's external content management system (CMS), Site Manager, and internal CMS, WordPress.
The Web Manager works independently on assigned website projects, making strategic decisions about design, front-end implementation, and project execution. The Web Manager coordinates web project requirements, timelines, and goals.
Acting as the central point of coordination and escalation for web initiatives, this position partners closely with Marketing & Communications (MARCOM), IT, and college units to ensure that CI MED websites are user-centered, accessible, brand-aligned, and effective in advancing institutional priorities.
This position provides strategic direction, CMS governance, and subject-matter expertise for CI MED web platforms, translating marketing and communication goals into scalable, sustainable web solutions. The role emphasizes front-end implementation and digital strategy.
Duties and Responsibilities
Web Operations
- Serve as the lead for CI MED web production, standards, structure, and governance, ensuring consistency, usability, accessibility, and alignment with institutional goals.
- Collaborate closely with the MARCOM team to conceptualize, strategize, plan, and design user-centered websites and webpages that align with and drive the college's key priorities and goals, ensuring a cohesive and impactful digital presence.
- Lead planning and execution of web projects from intake through launch, including requirements gathering, scope definition, timelines, prioritization, and quality assurance.
- Proactively develop and update websites that are informative, aligned with brand standards, accessible, and user-friendly.
- Establish and maintain CMS governance, including content models, templates, workflows, permissions, and documentation within Site Manager (external website) and WordPress (internal website/intranet).
- Partner with IT, CI MED units, and stakeholders as needed, serving as the lead coordinator for web-related requests, enhancements, and issue escalation.
- Guide decentralized contributors in using the CMS effectively while enforcing web standards and best practices.
- Maintain awareness of higher education web trends, usability standards, best practices, and emerging practices to continuously improve CI MED's digital presence.
- Own and implement content strategy for CI MED websites, including content audits, lifecycle planning, prioritization, and alignment with audience needs.
- Ensure information architecture, navigation, and page hierarchies support intuitive, task-based user experiences.
- Monitor website performance and user behavior using analytics, usability testing, heatmaps, and surveys; synthesize insights into actionable recommendations.
- Define and track key performance indicators (KPIs) for CI MED web properties and communicate findings to stakeholders to guide decision-making.
- Optimize content for search engines (SEO), accessibility, and clarity, including metadata, page structure, and editorial best practices.
- Conduct regular audits to ensure ongoing compliance with accessibility standards, brand guidelines, and institutional policies.
- Troubleshoot and resolve website issues, such as broken links, error messages, and usability issues.
- Serve as the primary CMS subject-matter expert for Site Manager (external website) and WordPress (internal website).
- Maintain working knowledge of the university's Webtools platform and related digital communication services.
- Lead or assist with projects that utilize Webtools services, including blogs, forms, surveys, email communications, and group management tools.
- Lead CMS training for faculty, staff, and content contributors when necessary; develop user guides, documentation, and standard operating procedures.
- Provide consultation and ongoing support related to web best practices, accessibility, content structure, and CMS usage.
- Act as the primary point of contact for website-related inquiries directed to MARCOM, ensuring timely, professional, and solutions-oriented support.
- Manage and coordinate content for CI MED digital signage in collaboration with stakeholders.
- Plan and conduct user research activities to better understand audience needs and behaviors.
- Analyze qualitative and quantitative data to identify trends, usability issues, and opportunities for improvement.
- Share findings and recommendations with MARCOM and college partners to inform future web initiatives.
- Perform additional digital marketing and communications-related duties in support of the mission of Carle Illinois College of Medicine.
- Bachelor's degree in marketing, business administration, communications, public relations, Computer Science, Web Development, Information Technology, or Graphic Design/Multimedia or a closely related field.
- Three (3) years (36 months) of professional work experience in marketing, public relations, communications, brand management, or a related professional area.
- Demonstrated experience managing websites and creating webpages.
- Coursework or professional development in digital strategy, UX, accessibility, or content management.
- Demonstrated experience managing websites within a CMS environment.
- Experience collaborating with stakeholders and content contributors across teams or functional areas.
- Experience supporting or implementing web accessibility best practices.
- Experience using analytics to inform content and UX decisions.
- Familiarity with HTML/CSS concepts sufficient to manage content, troubleshoot issues, and collaborate effectively with technical partners.
- Hands-on coding or backend development is not required.
- Understanding of CMS-driven web environments and the ability to quickly learn internally developed systems.
- Demonstrated ability to establish and enforce web standards in decentralized organizations.
- Ability to communicate effectively with others and explain web concepts to non-technical audiences.
- Organizational and project management skills, with the ability to manage multiple priorities and deadlines.
- Detail-oriented approach, organizational skills, ability to collaborate with and work on a team, and sound judgment.
- Ability to analyze data, synthesize insights, and recommend strategic improvements.
- Knowledge of digital marketing principles, content strategy, SEO, usability, and accessibility.
- Experience working in higher education or similarly complex organizations.
- Familiarity with Webtools, although not required and it can be learned upon hiring.
This is a 100% full-time Civil Service 5004 - Marketing Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the close date. The budgeted salary range for this position is $68,000 - $78,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. This position is not eligible for any type of sponsorship for work authorization.
