Position Overview
Monitors clerical staff engaged in the establishment and maintenance of a complex filing system pertaining to excess assistance and Non IV-D cases. Serves as a working supervisor. Serves as the liaison to Bureau and Department staff and internal/external stakeholders in the implementation of an electronic record keeping project. Directs the work of support staff performing routine clerical support functions. Confers and assists Bureau staff regarding operational needs related to excess assistance and Non IV-D cases derived from the Accounts Receivable System (ARS), Integrated Eligibility System (IES), and/or SAP.
Essential Functions
- Monitors clerical staff engaged in the establishment and maintenance of a complex filing system pertaining to excess assistance and Non IV-D cases.
- Serves as a working supervisor.
- Serves as the liaison to Bureau and Department staff and internal/external stakeholders in the implementation of an electronic record keeping project.
- Directs the work of support staff performing routine clerical support functions.
- Confers and assists Bureau staff regarding operational needs related to excess assistance and Non IV-D cases derived from the Accounts Receivable System (ARS), Integrated Eligibility System (IES), and/or SAP.
- Performs other duties as assigned or required which are reasonably within scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of two (2) years of study at a secretarial/business college and one (1) year of office experience OR completion of high school and three (3) years of Office Assistant experience OR three (3) years independent business experience.
Preferred Qualifications
- Two (2) years of supervisory experience assigning work, providing guidance to subordinates, recommending counseling and/or discipline following collective bargaining agreements, training staff and approving time off.
- Two (2) years of experience monitoring clerical staff engaged in the establishment and maintenance of a complex filing system for a private or public organization.
- Two (2) years of experience utilizing office procedures and programs researching volumes of overpayment files for a private or public organization.
- Two (2) years of experience multitasking, analyzing workloads and establishing priorities and/or deadlines for special projects.
- Two (2) years of experience training, sorting and distributing incoming mail ensuring confidential and sensitive material is distributed to the proper areas.
- Two (2) years of experience operating manual and automated office equipment.
- Two (2) years of experience utilizing Microsoft Office Suite or similar work processing/spreadsheet/database software.Two (2) years of experience monitoring clerical staff engaged in the establishment and maintenance of a complex filing system for a private or public organization.
Conditions of Employment
- Requires the ability to lift items weighing up to 50 pounds, including overhead lifting.
- Requires the ability to stand for long periods of time.
- Requires the ability to bend and stoop.
