Position: Administrative Assistant
We’re looking for an Administrative Assistant who is reliable, organized, and a great communicator. Being a small business, we need someone who is enthusiastic about assisting wherever needed — a true team player.
As our Administrative Assistant, you’ll play a key role in supporting both office operations and customer relationships, helping ensure every project runs smoothly from start to finish.
Candidates must have strong verbal and written communication skills, as they will interact daily with customers over the phone and via email. We emphasize exceptional customer service and are looking for someone our customers will find warm, friendly, and helpful. The ability to self-direct, stay organized, and switch easily between tasks is essential.
Key Responsibilities
- Answer and direct phone calls; respond to customer inquiries via phone and email
- Take incoming leads via phone and email submission and enter them into our database
- Call customers to schedule installation and service calls
- Maintain organized digital and physical filing systems
- Coordinate water delivery, order office supplies, and handle general office duties
- Maintain service and I-Pass records for company trucks; annually update license plate stickers
- Call customers regarding outstanding payments
- Provide exceptional customer service with a warm, professional attitude
- Jump in where needed — we value team players who are adaptable and proactive
Qualifications
- Proficiency with Microsoft Outlook, Word, and Excel (QuickBooks experience is a plus)
- Strong verbal and written communication skills
- Excellent organization and attention to detail
- Ability to prioritize and switch between tasks efficiently
- Reliable transportation to and from work
- Must be able to pass a background check
Schedule
This is a full-time position , 40 hours per week.
Hours: 8:00 AM – 4:30 PM, Monday through Friday
Includes a half-hour lunch break and two paid fifteen-minute breaks.
