POSITION SUMMARY

Provide administrative assistance to school principals, clinical supervisor and staff assigned to all educational programs.

This position will work approximately 244 total days each school year (August – July). This will include the regular school year and the extended school year (summer school).

CORE ACCOUNTABILITIES

Support School Administrators and Staff

  • Serve as administrative assistant to the school Principal, Assistant Principal and Clinical Supervisor in scheduling of appointments, fielding phone calls, filing and typing correspondence.
  • Document daily dismissals and tardies.
  • Assist with intake needs, i.e. assemble paperwork, coordinated schedules and collect student attendance and track input into Skyward and EEP Power Attend.
  • Assist with collection of full and part-time employee, homebound, and substitute time sheets.
  • Complete data entry for required reports.
  • Monitor and prepare monthly EEP attendance report, distribute said reports to respective school districts

Maintain Student Records and Files

  • Collect, copy and mail weekly progress reports for EEP students
  • Maintain all correspondence as related to student suspensions to parents, school districts, and other necessary personnel
  • Oversee records for all EEP students by:
    • Setting up files
    • Filing correspondence
    • Typing report cards and attendance letters
    • Submit record requests as needed
  • Type and disseminate student contracts for EEP intakes; obtain necessary signatures
  • Close files and records for all dropped students and return contents to home districts
  • Establish and maintain current and updated student files

Welcome and Assist Individuals

  • Answer phones, take and distribute messages, file and provide information to incoming calls related to school inquiries.
  • Screen office referrals; nurse visits, SRO and general requests for administrator referrals.
  • Greet and sign in guests, parents and other visitors.

Additional Support

  • Assist with staff development activities and other student and parent special events by ordering food, decorations, and other supplies.
  • Prepare handbooks and documents annually; typing, copying and assembly
  • Participate in staff meetings, conferences, training sessions and workshops as assigned.
  • Demonstrate familiarity with policies, performance standards and the agency's Mission, Vision and Core Values.
  • Exhibit a positive attitude and maintain friendly and respectful relations with staff, students and families.
  • Be a contributory team member in a positive/productive manner.

QUALIFICATIONS

  1. Three years of administrative assistance preferred.
  2. Desire to assist students with special needs in a learning environment.
  3. The ability to work and interact with all school personnel and students in a cooperative, collaborative and courteous manner.
  4. Ability to work under stressful situations.
  5. Able to build effective rapport with student population.
  6. Must have effective organizational skills, time management, and flexibility in order to meet staff and students' needs.
  7. Have a willingness to assume any responsibilities appropriate for the position.
  8. Support the Mission, Vision and Core Values of the agency.
