Loan Accounting Assistant
SUMMARY OF GENERAL RESPONSIBILITIES: This position performs a variety of operational and administrative functions supporting the Loan Accounting Department and our loan and credit card customers. The primary responsibility is to provide superior customer service while maintaining and reconciling records associated with customer loan and credit card transactions in a timely and accurate manner, according to established bank policies and procedures.
PRIMARY RESPONSIBILITIES:
- Interacts with loan and credit card customers in a friendly, helpful, knowledgeable and professional manner on a variety of issues involving routine inquiries as well as issues involving some complexity, including payoff quotes.
- Communicates with and provides support and guidance to internal staff regarding escalated issues concerning loan or credit card issues.
- Reconciles loan-related general ledger accounts daily.
- Reconciles and posts credit and debit entries on the core system.
- Processes loan payments and loan advances on the core system.
- Creates new loan accounts on the core system and maintains and modifies data on existing loan accounts, including advancements, disbursements, payments, billing corrections, payment schedules, escrows, reversal entries, charges and fees, interest adjustments and AFT or ACH payment processing.
- Responsible for all loan participations, including payments, advances, correspondence and balancing.
- Researches and processes information relative to disputed and fraudulent credit card account activity.
- Processes credit rating changes, including non-accrual processing and charge-off requests.
- Performs monthly escrow disbursements and annual escrow analysis.
- Researches credit bureau disputes.
- Purges closed accounts.
- Provides or creates professionally-presented correspondence, spreadsheets and reports involving loan and credit card activity for both informational and action purposes.
- Follows appropriate policies and procedures when processing loan payoffs, title and mortgage releases, SBA payments, Pekin Insurance remittances, escrow insurance and tax remittances, charge-offs, credit balance refunds and other functions.
- Participates in monthly Credit Card Committee meetings by preparing packets and taking and producing typed minutes.
- Participates in a variety of year-end activities, including verification of 1098 information, Freddie Mac and Rural Development reporting, all within strict accuracy and timeline parameters.
- Acquires and maintains a current and complete knowledge of processes, policies, procedures and software used in performing the functions of the Loan Accounting Department.
- Maintains strict confidentiality of all customer information and data.
- Answers phones, takes and delivers messages for the Loan Accounting Department as needed.
- Maintains all necessary paper and electronic files for the Loan Accounting Department.
- Maintains a neat and well-organized personal work area.
- Orders and maintains necessary office supplies for the department.
- Contributes ideas toward improving the overall loan accounting function.
- Promotes a productive and cooperative work environment.
- Cross-trains in all functions assigned to the Loan Accounting Department.
- Performs other tasks, duties and projects as may be assigned.
EDUCATION, EXPERIENCE, SKILL AND ABILITY REQUIREMENTS:
- High school diploma. Higher formal education completion preferred.
- Strong typing and computer software skills using Microsoft Word, Excel, Outlook and the internet, along with the ability to quickly learn and adapt to other specialized software applications.
- Clear, courteous and professional communication skills, both verbal and written.
- Friendly, accommodating and helpful interpersonal skills and demeanor.
- High degree of knowledge acquisition and retention.
- Ability to accurately apply basic math skills using any unit of measure.
- Ability to work productively, efficiently and independently with minimal supervisory overview.
- Multi-tasking ability with strong attention to detail and time management.
- Ability to recognize issues of significance and prioritize accordingly.
- An established work record of cooperation, professionalism, dependability, quality and engagement.
- One or more years of progressively responsible administrative experience preferred.
- Familiarity with accounting processes related to loan servicing is preferred.
- Previous experience in the banking field is preferred.
PHYSICAL REQUIREMENTS: Typical office environment with low noise levels and comfortable temperatures. Requires ability to operate numerous types of office equipment such as computers, printers, scanners, fax machines, copiers and calculators. Primarily a sedentary position. Requires occasional standing, walking, lifting, carrying, bending, kneeling, stretching, stooping and manual dexterity using hands and fingers. Requires extended reading and viewing of paper documents and computer screens.
