We are a dynamic staffing agency and a reputable rental property company seeking a highly organized and proactive Office Administrative Assistant. This dual-role will assist in the day-to-day operations of both industries, making it an exciting opportunity for a bilingual professional.
Key Responsibilities:
- Provide administrative support to ensure efficient operation of the office within both the staffing agency and rental property divisions.
- Handle incoming communications (phone calls, emails, and in-person inquiries) in both English and Spanish.
- Schedule appointments and manage calendars for staff members.
- Assist with data entry, document preparation, and record maintenance.
- Support the rental property management team with tenant communications, lease documentation, and property maintenance requests.
- Collaborate with staffing agents to ensure smooth onboarding of new staff and provide customer service to clients and candidates.
- Perform various clerical tasks, including filing, photocopying, and maintaining organized office supplies.
- Ensure that all interactions reflect our commitment to quality service and professionalism.
Qualifications:
- Fluency in both Spanish and English is required.
- Proven experience as an administrative assistant or similar role is desirable.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational skills and attention to detail.
- Strong communication skills, both verbal and written.
- Ability to work independently and as part of a team in a fast-paced environment.
- Familiarity with property management software is a plus.
