Facilities Coordinator
About the Role
The Facilities Coordinator supports daily workplace operations to ensure a safe, functional, and welcoming environment for employees and visitors. This person serves as a key point of contact across the office, providing exceptional customer service while managing front desk coverage, facilities requests, vendor coordination, conference room support, inventory management, and general workplace operations.
This role is ideal for someone organized, personable, responsive, and comfortable balancing routine tasks with real‑time needs.
Key Responsibilities
Reception & Front Desk Coverage
- Provide front desk coverage during lunch, breaks, and when the primary receptionist is unavailable
- Greet employees and visitors in a professional and friendly manner
- Respond promptly to inquiries, requests, and issues
- Assist with lockouts and coordinate access support
Facilities Operations & Maintenance
- Submit and manage building work orders
- Coordinate vendor repair calls and service appointments
- Oversee desk and furniture repairs through vendor coordination
- Respond to minor facilities issues and spills
- Support printer maintenance and repair needs
- Assist with conference room setup or reconfiguration
Conference Rooms & Shared Spaces
- Reconcile and monitor conference room calendars
- Conduct daily meeting room checks
- Restock meeting room refrigerators
- Assist with catering orders and setup
Mail, Shipping & Deliveries
- Receive and distribute incoming mail
- Manage outgoing mail and USPS drop-offs
- Handle FedEx shipments, tracking, and delivery logistics
Inventory, Supplies & Refreshments
- Place and manage office supply orders
- Order, receive, and restock coffee, snacks, and refreshments
- Conduct daily and scheduled restocking
- Track inventory levels and maintain accurate records
- Perform weekly refrigerator clean-outs
Technology & Workplace Support
- Coordinate laptop recovery
- Process printing requests
- Support employee seat changes and maintain floor plan updates
- Maintain workstation name plates
Qualifications
Required
- Previous experience in facilities, office services, or workplace operations
- Strong customer service orientation with a friendly and solution-focused approach
- Excellent verbal and written communication skills
- Ability to work collaboratively with the team while independently managing daily tasks
- Strong organizational and time-management abilities
- Comfortable managing both recurring tasks and unexpected requests
- Ability to lift, move, and stock supplies as needed
Preferred
- Security training and/or related experience
- First Aid and CPR certification
- Experience supporting front desk or employee-facing functions in a corporate environment
Job Type & Location
This is a Contract position based out of Chicago, IL.
Pay and BenefitsThe pay range for this position is $25.00 - $28.00/hr.
