Job Summary
The HR Representative, Appointments Management performs a variety of tasks to support the data operations function, including answering phones, monitoring email inboxes, and processing various forms and requests. This role ensures efficient handling of data-related tasks and provides support to university units. Duties & Responsibilities
  • Review submitted transactions for completeness and accuracy based on established checklists and guidelines.
    • Act as campus reviewer for Extra Help transactions.
    • Assist in review of Extra Help non-clerical pay rates and increases.
    • Retrieves information for Extra Help employee requests.
    • Assist with review and verification of unemployment claim responses.
  • Enter and update routine appointments for new hires, reappointments, and other employee changes.
    • Assist in processing returning retiree approvals for IHR Extra Help employees.
    • Provides assistance to units with technical issues: HRFE, Banner, Timetracker, IDES, Summer Youth, Billing, and JDXpert questions and/or issues, transaction request for return or deletion.
  • Review basic reports and summaries to confirm that transactions have been processed correctly and payroll records are accurate.
    • Responsible for regular monitoring and communications with units to enforce Extra Help 900-hour limitations, escalating potential overages for review.
    • Assists in tracking mandatory ethics training for Extra Help employees and compiles and reports compliance data.
    • Assists with tracking, monitoring, and communicating with units bi-weekly regarding Extra Help 18-month separation report.
  • Monitor email inboxes and answer inquiries, providing general information and assistance.
  • Communicate with appropriate contacts to request missing information or clarify routine discrepancies.
    • Assist with other Extra Help duties as needed.
Minimum Qualifications
  1. High school diploma or equivalent.
  2. Any one or any combination totaling two (2) years (24 months) from the following categories below:
A. course work in human resource administration, business administration or a closely related field, as measured by the following conversion table or its proportional equivalent:
  • 30 semester hours equals one (1) year (12 months)
  • Associate's Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
B. progressively more responsible work experience maintaining, monitoring, and/or processing human resource records and reports.

Appointment Information

This is a 100% full-time Civil Service 2135 - Human Resource Representative position, appointed on a 12-month basis. The expected start date is as soon as possible after 4/13/2026. The budgeted salary for this position is $44,000 - $50,000. This position is not eligible for any type of sponsorship for work authorization.
