Position Summary
12-Month Administrative Assistant
Qualifications
- Two years of post-secondary schooling
- Experience as an administrative assistant, preferably in an educational environment.
- Advanced computer skills, including Google Docs, Sheets, Slides, Forms, Gmail and Microsoft Excel. Knowledge of student management software or professional growth programs, a plus.
- Typing skills of 50 words per minute
- Organized, detailed-oriented, able to switch assignments quickly and adaptable to handling multiple ongoing projects
- Professional in demeanor
- Excellent communication skills, both verbal and written communications skills
- Good interpersonal skills; proven ability to relate well with others
- A high level of confidentiality
Reports To
- Executive Director for Teaching and Learning
Essential Duties and Responsibilities (not all-inclusive)
- Support the educational program by assisting with the preparation of various documents and reports for the School Board
- Create correspondence databases, spreadsheet, and various publications as directed
- Prepare reports for the county, state, and federal levels as legally required
- Maintain data for Continuing Professional Development Units, professional development activities.
- Develop research reports that align with both Profile of a Graduate and assist with integration of technology based systems
- Assist in the preparation and management of the budget for instruction-related materials; Prepare purchase orders and check requests from appropriate accounts.
- Monitors and tracks accounts in Skyward. Maintains administrator's expense record, Maintains records on budget accounts that are supervised by this office.
- Assist with in-service professional development and maintain records
- Assist with the New Teacher Orientation Program
- Develop a general knowledge of district policies and procedures, in particular Section 6 - instruction of the School Board Policy Manual
- Maintain and/or schedule appointments for the administrator and make travel arrangements as needed
- Assist with field trip process, district-wide; ensure approval guidelines are met for extended day of length
- Attend meetings with the administrators to serve as recording secretary.
- Arranges for room reservation and set-up, refreshments and correspondence for meetings and professional development.
- Acts as a resource person when an executive is out of the office.
- Perform general secretarial duties such as filing, phone coverage, typing correspondence, arranging appointments, proofreading, processing mail, etc.
- Assist the Executive Director in preparing reports and information to provide to Senior Cabinet for strategic decision making and negotiations.

- Specific vision abilities required by this job include close vision, and the ability to adjust focus. In addition, the ability to withstand long-term use of video display terminals (VDT) is required.
- The employee may occasionally lift up to 30 pounds such as reference books.
- The noise level in the work environment is usually moderate.
- The pace of work tasks would be considered as fast.
- Work is usually conducted at one job site, however, on occasion, this employee will be required to attend meetings, conferences, or workshops and events at other sites as assigned.
