About the Role
We’re looking for a Front Desk & Executive Assistant who enjoys being the welcoming face of the office and a key part of keeping daily operations running smoothly.
In this role, you’ll be the first point of contact for visitors and customers and will work closely with our leadership and sales teams. Your day will include a mix of front desk support, scheduling, order processing, shipping coordination, inventory tracking, and general office organization. What You’ll Do ?
Front Desk & Office Support
- Welcome visitors, customers, and vendors with a friendly, professional attitude
- Answer and route phone calls, emails, and inquiries accurately and promptly
- Keep the front office and meeting spaces clean, organized, and professional
- Manage office supplies, shipping materials, and daily administrative needs
Sales, Inventory & Shipping Support
- Prepare and manage sales and shipping paperwork, including:
- Quotes
- Sales orders
- Invoices
- Packing lists
- Shipping orders and Bills of Lading (BOL)
- Coordinate shipments using UPS, FedEx, and LTL freight carriers
- Track incoming and outgoing shipments (boxes, pallets, and freight)
- Assist with inventory tracking, receiving paperwork, and shipment verification
- Maintain accurate, well-organized digital and physical records
- Communicate shipment updates clearly with team members and customers
Executive & Team Support
- Schedule meetings and calls for executives and sales team members
- Follow up on tasks, deadlines, and internal communications
- Assist with special projects, travel arrangements, and company events
- Support preparation of proposals, presentations, and reports
What We’re Looking For
- Friendly, clear, and professional communication skills
- Strong organizational skills with great attention to detail
- Ability to handle multiple tasks in a busy office environment
- Comfortable using Microsoft Office (Word, Excel, Outlook, PowerPoint); Google Workspace is a plus
- Experience in administrative support, customer service, sales coordination, or logistics is preferred
- Shipping, inventory, or LTL freight experience is a bonus
- A positive attitude, strong work ethic, and willingness to be an engaged team player are essential
