The Illinois Association of School Personnel Administrators (IASPA) is a professional association serving HR leaders in Illinois school districts. IASPA provides professional learning, networking, and leadership development opportunities for members across the state. IASPA is a collaborative, mission-driven organization that supports school HR professionals through conferences, professional development, networking, and advocacy.
Position Summary
IASPA is seeking a highly organized, proactive Executive Assistant to serve as the operational “glue” of the organization. This role ensures smooth coordination across staff, programs, events, and member services so that IASPA provides a seamless and high-quality experience for members. The Executive Assistant supports the work of all staff. This individual provides operational continuity, manages communication channels, supports IASPA events and programming, and ensures that projects, deadlines, and follow-through are consistently maintained across the organization.
A successful candidate will be highly organized, proactive, technologically comfortable, and able to maintain context across multiple projects and priorities.
Key Responsibilities
Organizational Coordination
Serve as a central point of contact for members, partners, staff, and leadership
- Serve as a central point of contact for members, partners, staff, and leadership
- Answer the IASPA phone line and monitor incoming emails
- Direct inquiries to appropriate staff and troubleshoot issues when possible
- Track action items, deadlines, and follow-up tasks across staff and initiatives
- Support operational continuity and institutional memory
Staff & Leadership Support
- Prepare agendas, materials, and briefings for meetings when needed
- Coordinate calendars and logistics across staff
- Help ensure that projects stay on track and nothing falls through operational gaps
- Identify opportunities to improve workflows and operational efficiency
- Assist leadership by managing administrative and logistical details
Event & Program Support
Provide operational support for IASPA programs and events including:
- Annual Conference, Fall HR Essentials, Spring Summit (major conferences)
- Webinar Wednesdays (WW)
- Administrator Academies (AA)
- Networking events and sponsorship activities
Responsibilities include:
- Serving as a silent observer and technical support for virtual programs
- Assisting with logistics and coordination for events
- Attending approximately 15 days of in-person events per year
Membership & System Support
- Utilize IASPA’s Novi AMS system (training provided)
- Assist with member inquiries and system updates
- Support sponsorship and membership communications as needed
Qualifications
Required
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple projects and priorities
- High level of professionalism and discretion
- Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar)
- Comfort learning new technology systems
- Ability to work independently in a remote environment
- Availability during standard business hours
Preferred
- Experience supporting executives, boards, or associations
- Familiarity with association management systems
- Experience with: Canva, Constant Contact, Quickbooks

- Compensation & Structure
- Part-time: ~28 hours/week (1,450 hours annually)
- Hourly rate: $25 - $30/hour
- Remote position
- Travel required: In-person attendance approximately 15 days annually for IASPA events
