Position Information Position Title Payroll Services Coordinator Overview Perform and manage all payroll duties in an accurate and timely fashion and in accordance with both federal and state regulations and the College's policies and procedures. Serve as acting Payroll Services Manager and his/her absence. Essential Duties:- Manage the activities of the Payroll Associate by supervising and reviewing their work each pay period. Process and/or review and approve the three payrolls if prepared by the Payroll associate. Monitor and analyze the department work to develop more efficient procedures and use of resources, while maintaining a high level of accuracy. Monitor manual, off-cycle check runs and understand how they may affect the next payroll. Review all PAF's, employment certification forms, 1-9's (students), and W-4's that come into the office for accuracy and understand the tax rules for resident/non-resident aliens.
- Manage electronic timekeeping system (Kronos) and payroll system (Banner) and provide training to payroll team, employees, and department managers. Work with team members and department managers in helping to develop their skills and improve productivity. Stay current with both timekeeping system and payroll system upgrades and patches. Review system releases and conduct the necessary testing to ensure accuracy. Communicate with department managers who manage Kronos timesheet entries to ensure that rules are understood and time and activity codes are being used correctly.
- Coordinate with the Payroll Services Manager on large projects and the performance of the quarterly and year-end tax functions. Participate with significant projects such as Kronos, manual tax inputs into the ADP system, ADP tax files and all others that require a high level of testing, critical thinking, and analysis. Process the quarterly file and review the various quarterly reports for accuracy on federal and state levels. Review internal reports set up in Apex to balance and monitor for possible quarter errors. Perform year-end tax functions as well as balancing W-2's. Stay up-to-date with ADP releases and understand how they may affect the tax file and what has to be completed to keep the tax file current. Search for new federal and state withholding tables, wage tax limits, and tax rates for the new year and enter them into Banner and test thoroughly before putting into productions.
- Oversee the student office assistants in their day-to-day duties. Create schedules and train when necessary.
- Perform all other duties as may be required.
- Associate's Degree in Business, Accounting, or related field from an accredited institution required.
- Three to five years' of related experience in payroll and payroll taxes or an equivalent combination of education and experience required.
- High level of time management, accountability, and prioritilation skills.
- Ability to maintain confidentiality of payroll information.
- Ability to be analytical and organized.
- Strong problem-solving skills.
- Solution oriented.
- Working knowledge of Microsoft Word and Excel.
- Excellent organization and communication skills required.
- Ability to work independently.
- Banner, Kronos, and ADP experience strongly preferred.
- Working knowledge of payroll processing and database systems required.
- Sitting in a normal seated position for extended periods of time
- Reaching by extending hand(s) or arm(s) in any direction
- Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard
