Mortgage Assistant

- Support loan officers with daily success plan management to make sure they have the necessary information to originate more loans to the pipeline
- Perform front desk duties such as greeting visitors, sorting mail, faxing paperwork, and other delegated tasks that may include errands outside the office, as needed
- Let the team know about incoming client requests so we can respond quickly and ensure the customer is satisfied
- Step up to help other team members with administrative duties as needed
- Manage our database and continuously update our CRM with the latest client information
- Respond and reach out to realtors, referrals, current clients, and past clients via phone call, using our proven scripts to ensure each client receives great service
- Deliver quality support to everyone from vendors to clients to increase positive customer service ratings
- Manage the team leader's calendar, including scheduling appointments and ensuring proper time management.
- Managing the team leader's email and answering all incoming phone calls.
- Manage a pipeline of all incoming leads by maintaining active communication with clients and referral partners.
- Manage and gather documentation of clients, and schedule the loan consultation for the team leader.
- Make telephone contact with new clients as referred by our partners and keep track of them daily.
- Prior experience as an office assistant or receptionist preferred
- Uses the highest levels of discretion when handling client information
- Ability to use Microsoft Office Suite, including Excel, Word, and Adobe, is mandatory, as well as the ability to learn new software quickly
- Functions well independently, has great multitasking skills, and possesses a drive to build systems so tasks are completed efficiently with minimal supervision
- Detail-oriented with superb organizational skills and communication skills (written and verbal)
