Senior Coordinator of Academic Services, College of Business Administration

Serves as the College's primary subject matter resource regarding undergraduate academic requirements, degree audits, transfer evaluations, and advising assignments. This position supports core academic and operational functions for the College of Business Administration, with primary responsibility for degree audits, graduation processing, curriculum updates, transfer and admissions verification, and data reporting. It maintains advising structures, manages student records and course exceptions, and ensures accuracy of undergraduate and graduate course schedules. The role collaborates with faculty, staff, and the Registrar’s Office to resolve academic and enrollment issues, supports student engagement initiatives, and represents the college at events while contributing to special projects for the Dean’s Office. The role also manages daily operations of the Undergraduate Programs and Student Engagement (UPSE) office, including front desk coverage and office operations.

Position Specific Responsibilities/Accountabilities

Academic Operations & Student Records (70%)

  • Manage student academic records and progression processes for the College of Business Administration, including graduation reviews, degree audit adjustments, course substitutions, curriculum updates for returning students, change of major requests, course overrides, prerequisite compliance, and other academic policy exceptions in accordance with College and University guidelines.

  • Coordinate transfer and enrollment-related processes, including transfer course equivalencies, Transfer Course Reviews (TCR), verification of transfer admission requirements, and serving as the primary contact for prospective internal transfer students regarding pathways into the College of Business Administration.

  • Advise the Business Administration minor students by overseeing the application process, managing acceptances into the minor, and making course recommendations each term.

  • Track and maintain advising loads by assigning academic advisees to advisors each term and keeping advising rosters accurate for all faculty and staff advisors.

  • Generate and analyze student data for the College of Business Administration using university systems, including reports related to majors, minors, degree applicants, advisor assignments, cohorts, and other college metrics.

  • Collaborate with faculty, advisors, the Registrar's Office, and other campus partners to resolve student record concerns, academic holds, scheduling issues, degree audit exceptions, and other matters impacting student success.

  • Support the Assistant and/or Associate Dean(s) in curriculum and program administration by coordinating academic bulletin revisions, validating semester course schedules, and ensuring the accuracy of academic records and program information.

Student Services & Office Operations (30%)

  • Oversee student-facing operations and ensure effective delivery of academic support services through the Undergraduate Programs and Student Engagement Office.

  • Serve as the primary point of contact for students, faculty, staff, prospective students, and visitors by providing front desk support, responding to the centralized email account and phone inquiries, and connecting individuals with appropriate academic and campus resources.

  • Coordinate day-to-day office operations, including shared space management, meeting and event logistics, office procedures, supply procurement, expenditure tracking, and maintaining a welcoming and professional office environment.

  • Assist the Assistant Dean of Undergraduate Student Success and the Student Engagement Advisor with administration of the Suitable platform and CBA Advantage program, including uploading events, process approvals, data maintenance, reporting, and process support.

  • Represent the Undergraduate Programs & Student Engagement Office at university events and outreach activities and perform special projects and other duties as assigned by the Assistant and/or Associate Dean(s).

Requisite Qualifications

  • Typically a Bachelor’s degree or equivalent experience. A master’s degree in business or counseling is preferred. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.

  • Minimum three years of experience in an academic program office or customers in a service-oriented role involving complex processes. Familiarity with the Office of the Registrar functions or related area desirable but not required.

  • Exercises independent judgment in interpreting academic policies, degree requirements, transfer equivalencies, and curriculum standards within established university guidelines.

  • Demonstrated knowledge in the areas of: recruiting, marketing, social media, higher education curriculum, course sequences and requirements, course offerings, admissions requirements, graduation requirements, university resources and facilities. Familiarity with academic processes and procedures, Registrar office, and Financial Aid office.

  • Ability to multi-task, plan, organize and execute day-to-day operation; work under deadlines and maintain a detail-oriented approach to each task; ability to prioritize and delegate the flow of work on a daily basis; ability to write and edit, prepare memos and minutes, type reports and other documents efficiently.

  • Highly developed organizational and customer service skills.

  • Demonstrated computer proficiency in Microsoft Office (Excel, Word, PowerPoint and Access) and other campus databases.

  • Maintain highly effective working relationships with key faculty, academic personnel.

Salary Information

  • The anticipated starting salary for this position is $72,800 annually.

$61,800.00 - $77,300.00 Salary commensurate with education and experience.
