Orthodontic Front Desk Associate – Swansea, IL

Join our orthodontic team as a Front Desk Associate in Swansea, Illinois , where you’ll be the first point of contact for our patients and play an essential role in creating an exceptional patient experience. In this vital role, you’ll manage front desk operations with professionalism, warmth, and efficiency, ensuring every patient feels welcomed, valued, and cared for throughout their orthodontic journey.

Job Responsibilities
• Serve as the first face and point of contact for patients both in the office and over the phone.
• Provide exceptional customer service and create a positive patient experience.
• Demonstrate excellent time management and organizational skills while thriving in a fast-paced environment.
• Greet patients, check them in and out, collect payments, and communicate follow-up instructions.
• Schedule, reschedule, and confirm appointments for consultations and ongoing orthodontic treatment.
• Prepare daily schedules and patient charts for the clinical team.
• Verify insurance benefits and communicate with insurance companies regarding orthodontic coverage and claims.
• Explain financial arrangements and assist patients with payment options when needed.
• Maintain accurate patient records while ensuring confidentiality.
• Show genuine care and compassion to every patient while supporting teammates to ensure a smooth and efficient office.
Job Requirements
• Dental or orthodontic experience preferred.
• Previous front desk or customer service experience required.
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Professional appearance with a positive, friendly attitude.
• Ability to remain calm and professional under pressure.
• Strong problem-solving skills and attention to detail.
• Ability to work independently and collaboratively within a team.
• Customer-focused with a warm, welcoming demeanor.
• Basic knowledge of dental or orthodontic procedures and insurance preferred.
• Ability to maintain confidentiality and adhere to company policies.
