Administrative Assistant

Join our team as an Administrative Coordinator , where you’ll play a key role in keeping operations running smoothly and supporting multiple departments. This is a dynamic position that combines administrative excellence with event coordination and vendor management.

What You’ll Do

Administrative Support

  • Provide cross-departmental administrative coverage as needed.
  • Manage calendars, schedule meetings, and prepare meeting materials.
  • Assist with travel arrangements, expense reporting, and document preparation.
  • Maintain distribution lists and group calendars.
  • Create and monitor feedback surveys, reporting on completion rates.
  • Consolidate information from multiple sources into polished presentations and reports.

Meeting & Event Coordination

  • Organize logistics for meetings, trainings, and hybrid events.
  • Reserve conference rooms, coordinate technology setup, and manage catering.
  • Communicate with attendees regarding agendas, schedules, and materials.
  • Confirm headcount, dietary needs, and ensure seamless vendor coordination.

Vendor & Budget Management

  • Build and maintain relationships with approved catering vendors.
  • Track expenses, reconcile invoices, and ensure compliance with budget guidelines.
  • Assist with onboarding new vendors, processing contracts, and resolving discrepancies.

Office Operations

  • Support reception duties as needed.
  • Manage office supplies and inventory.
  • Ensure health, safety, and sanitation standards during events.

Special Projects

  • Coordinate employee recognition programs and track award recipients.
  • Collect and file materials for CPE credit programs; distribute certificates.
  • Collaborate with HR and business leads on presentations and internal initiatives.

  • Experience in administrative support and event planning.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to manage budgets and vendor relationships.

Job Type & Location

This is a Contract position based out of Chicago, IL.

Pay and Benefits

The pay range for this position is $25.00 - $28.00/hr.
