HR Coordinator
Reporting to the Sr. Manager, Human Resources this position provides high quality, confidential, accurate, and timely administrative support and project management to the Human Resources Department. The Human Resources Coordinator is responsible for providing administrative support in the areas of recruitment, filing, policies and procedures, performance management, compliance, employee handbook policies, procedures and programs, learning and development, payroll support and backup and benefits administration and questions
As an HR Coordinator you will provide:
- HR Support (50%)
- Assists with off-boarding activities: launching exit survey, preparing termination paperwork, tracking all termination checklist items and coordinating exit meetings
- Create and maintain employee personnel files and perform regular audits to ensure all required paperwork is received; policy acknowledgements, I-9’s, copies of driver’s licenses, launch FCPA and track completion etc.
- Assists with performance review process-answering general questions on process and system navigation, routing forms, monitor dashboards and reminders and on-going administration. Become a super user of the system and manage user access and permissions.
- Processes new hires, terminations, employee changes and transfers
- Maintains literature/policy displays; ensures documents are up-to-date and stocked
- Assist with filing unemployment claims
- Performs customer service functions by answering employee requests and questions
- Backup up Receptionist, daily; answer calls in a pleasant, efficient manner, interface with all levels within the organization, including Executives, direct callers to correct party or inside/outside sales offices, take accurate messages and relays information in a timely and precise manner.
- Support VP Global Human Resources as needed and provide administrative support for budget and HR metrics.
- Payroll & Benefits Support (25%)
- Payroll backup and support. Provide-bi-weekly audit support, administer payroll quarterly to support processing of the quarterly bonus, run bonus payroll annually. Support reporting as needed and other ad hoc responsibilities.
- Assist with employee questions related to payroll questions and help explore and resolve any concerns.
- Answer questions or concerns from employees about their benefits
- Support development and distribution of employee benefit paperwork/documentation.
- Learning & Development (25%)
- Coordinate dates with provider, secure signed contract and update training schedule/log.
- Sending training notices to attendees, reserve venue and ensure setup and support day of activities
- Grant reporting
- Entries to BizLibrary – new employees, terms and changes
- Summarize course evaluations and disperse
We are looking for someone who:
- Holds an associate degree or 2+ years of commensurate experience in comparable role
- Is proficient knowledge of MS-Office Suite (Word, Excel, PowerPoint, Outlook)
- Must work independently and possess flexibility
- Has strong communication skills -both written and verbal are a must
- Has excellent time management skills, detail oriented, with the ability to prioritize -- follow through is a must
- Possesses the ability to maintain a high degree of confidentiality when dealing with employee matters & information
- Ideally is bilingual, Spanish strongly preferred
The working conditions of the role are:
- General Office Environment, PC use
What we offer you:
Typical pay is $52,176 – 63,921 annually.
