Project Administrator (Construction)
Location : Chicago, IL (Onsite)
Schedule : Monday–Friday, 8:00 AM – 5:00 PM

Novak Construction is seeking an experienced Project Administrator to join our team at our Chicago office. The ideal candidate will have 5+ years of experience as a Project Administrator working for a commercial general contractor and be comfortable supporting multiple active projects in a fast-paced environment. Key Responsibilities
- Provide day-to-day administrative support to Project Managers, Superintendents, and Project Executives.
- Manage and maintain project documentation, including contracts, subcontracts, purchase orders, change orders, and closeout files.
- Coordinate subcontractor onboarding, insurance compliance, and required project documentation.
- Track and process invoices and vendor compliance items.
- Maintain accurate, well-organized project records within construction management systems.
- Assist with meeting coordination, agendas, minutes, and distribution of project communications.
- Support general project coordination, reporting, and administrative needs as required.
- Serve as a point of contact for internal teams and external partners regarding project administrative matters.
Required Qualifications
- Minimum 5 years of experience as a Project Administrator with a commercial general contractor.
- Strong understanding of construction documentation, workflows, and industry terminology.
- Proficiency with Microsoft Office Suite.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and support several project teams simultaneously.
- Strong written and verbal communication skills.
- Ability to work onsite in our Chicago office, Monday–Friday, 8:00 AM–5:00 PM.
Preferred Qualifications
- Experience supporting multiple commercial construction projects simultaneously.
- Familiarity with Sage Project Management, Autodesk Construction Cloud, Bluebeam, and PDF workflows.
