Job Description
The Shipping and Receiving Coordinator II schedules trucks and wide or oversize loads, works directly with trucking companies and carriers, and performs hands-on shipping and receiving activities in a manufacturing environment. This role manages the flow of raw materials, components, and finished goods, ensuring accurate receiving, timely shipments, strong inventory control, and alignment with production schedules and quality standards. The position works primarily on 1st shift, from 5:00 a.m. to 1:30 p.m., Monday through Friday, with flexibility to work 10-hour days, occasional Saturday shifts of up to 8 hours as needed, and some days starting at 6:00 a.m.
Responsibilities
- Schedule trucks and wide or oversize loads to support production and shipping requirements.
- Work directly with trucking companies and carriers to coordinate pickups, deliveries, and special transportation needs.
- Handle all shipping documentation and perform accurate data entry in computer and ERP/MRP systems.
- Operate a forklift safely to load, unload, move, and stage materials and finished goods.
- Work hands-on in shipping and receiving areas, assisting with daily operations as needed.
- Receive and inspect raw materials, parts, and supplies against purchase orders and bills of lading.
- Verify received quantities and inspect materials for damage, defects, or quality issues.
- Coordinate with Quality Control for material inspections when required.
- Accurately enter receipts and related information into ERP/MRP systems.
- Label incoming materials correctly and route them to the appropriate storage or production areas.
- Prepare finished goods for shipment according to customer specifications and requirements.
- Generate packing slips, bills of lading, and other required shipping documentation.
- Coordinate freight carriers, including LTL, FTL, parcel, and international shipments, to meet delivery expectations.
- Ensure all shipments align with production schedules and customer due dates.
- Verify product counts, packaging requirements, and any special handling instructions before shipment.
- Maintain accurate inventory records in the ERP/MRP system for raw materials, components, and finished goods.
- Assist with cycle counts and physical inventory audits to support inventory accuracy.
- Monitor stock levels and communicate material shortages or issues to Purchasing and Production teams.
- Stage materials for production runs to ensure a smooth manufacturing workflow.
- Support lean manufacturing and 5S initiatives by maintaining organized and efficient work areas.
- Ensure compliance with OSHA and company safety standards at all times.
- Follow proper procedures for handling hazardous materials, if applicable.
- Maintain clean, organized, and safe shipping and receiving areas.
- Manage and contribute to key performance indicators such as on-time shipment rate, receiving accuracy, order fulfillment cycle time, and reduction of shipping errors.
Essential Skills
- High school diploma or GED.
- 2–3 years of shipping and receiving experience in a manufacturing environment.
- Hands-on experience with ERP/MRP systems such as D365, SAP, Oracle, NetSuite, or similar platforms.
- Knowledge of freight terms, bills of lading, and shipping documentation.
- Ability to operate a forklift safely; current forklift certification or ability to obtain certification.
- Ability to lift up to 50 lbs. and work safely in a production and warehouse setting.
- Strong attention to detail with a focus on accuracy in receiving, shipping, and documentation.
- Understanding of production workflows and how material flow impacts manufacturing.
- Inventory control and material handling knowledge in a manufacturing environment.
- Effective time management skills and ability to meet deadlines in a fast-paced setting.
- Clear and professional communication skills with production, purchasing, quality, and logistics teams.
- Problem-solving skills and a process improvement mindset.
- Commitment to following safety procedures and OSHA standards.
Additional Skills & Qualifications
- Experience coordinating LTL, FTL, parcel, and international freight shipments.
- Familiarity with international shipping documentation and requirements (preferred).
- Experience supporting lean manufacturing and 5S initiatives.
- Comfort working with computer systems for data entry, labeling, and documentation.
- Ability to prioritize tasks and adapt to changing production and shipping demands.

This is a Contract to Hire position based out of Rockford, IL.
Pay and BenefitsThe pay range for this position is $24.00 - $30.00/hr.
