The District has 1 early learning center, 15 elementary schools, five middle schools and a high school program divided between two 9th - 12 grade campuses. The District encompasses portions of Waukegan, Beach Park and Park City. Organizational Relationship: The Secretary to Student Culture is directly responsible to the Assistant Principal of Student Culture, and, indirectly to Co-Principal. Essential Duties and Responsibilities: 1. To perform a wide variety of confidential and complex secretarial, clerical and record-keeping functions necessary for the efficient functioning of the Student Culture Center.. 2. Act as a liaison between the public and the school district and in doing so, promoting the general image of the Waukegan Public School District. 3. Promote educational enterprise through service to students, parents, visitors and staff. 4. Welcome students, parents, visitors and staff to the Student Culture Center. 5. Answer incoming telephone calls and emails in a timely manner. 6. All record keeping and filing 7. Manipulate and process data 8. Create and disseminate all correspondence, notices, forms, etc. for the Student Culture Center excluding staff evaluations. 9. Inform attendance office of student absence or tardy due to visit at Student Culture Center. 10. Forward student attendance calls to the Attendance Office. Provide tardy passes to visiting students. 11. School-wide duties related to opening and closing of school. 12. Responsible for data entry for the Student Culture Center and maintenance of student culture records, specifically, but not limited to SIS. 13. Responsible for providing Secretarial Support for activities within the Student Culture Center. (ex: Rising 9 and 10 th Grade Development) 14. Generate discipline letters and reports for suspensions and expulsions in collaboration with the Secretary to Assistant Principal of Student Culture and the Secretary to the Assistant Principal of Curriculum and Assessment. 15. Will attend any and all trainings necessary to learn new technologies and skills as requested by Administration and/or their designee 16. Assist in mass mailings and mass clerical projects for Student Culture Center. 17. Other job related duties as assigned. Qualifications: 1. Must have a high school diploma or equivalent; 2. Commitment to the belief that all children, regardless of circumstances, can achieve at high levels. 3. Good communication, organizational, computer, and interpersonal skills required. 4. Demonstrated ability to work with data in multiple computer environments, including but not limited to: Windows based PC's, district-wide networked systems including the Student Information System (SIS) and Financial Management System (FMS), Google systems. 5. Effective and efficient word processing skills with knowledge of Microsoft Office suite of programs. 6. Demonstrated ability to multitask effectively and prioritize strategically. 7. Ability to care for minute details and editing skills to ensure reliable and accurate results, verifying information for accuracy. 8. Ability to do record keeping, prioritize and work independently with minimal supervision and follow oral and written instructions. 9. Successfully work in a collaborative environment. 10. Ability to interact in a positive manner with students, staff, parents, outside agencies, and central services staff. 11. Ability to plan, organize, schedule, and manage documents in a timely and effective manner. 12. Pass the district secretarial typing test and exam(s). Work Environment: Busy office environment with multiple priorities and frequent interruptions.
