Sleep Lab Support Coordinator
**This position will split time between Cook County Health and Hospitals - Stroger and Provident locations**
About the Position
This position is responsible for providing administrative support services to the Sleep Center Program at Cook County Health and Hospitals Stroger and Provident Hospital campuses. As part of a team, the Coordinator provides customer service to internal and external customers within a busy healthcare environment.
Duties consist of:
- Home Sleep Testing scheduling.
- Daily rectifying charge entry from previous night studies.
- Maintain daily sleep study log spreadsheet.
- Point person for MDs for administrative scheduling needs.
- Home Sleep Test device programming, teaching, and platform management.
- Home Sleep Test charge entry.
- Post reports to medical records for both in-lab and Home Sleep Tests.
- Weekly meeting with Medical and Clinical Director.
- Weekly data entry of patient satisfaction surveys into spreadsheet.
- Gather Clinical QA Data for Clinical Director.
Patient Scheduling for Sleep Studies:
- Monitor the appointment schedule to ensure efficient utilization of HSAT staffing and identify openings at Stroger & Provident Sleep Testing programs.
- Schedule patients through high-quality interaction that ensures understanding of the testing process, appointment details, pre-test planning, and importance of the test.
- Verify insurance prior to scheduling to ensure accurate billing
- Reschedule patients according to established protocols upon
- Fill open appointment slots to maintain fully scheduled sleep testing
- Communicate with sleep specialists as
- Establish and implement a confirmation protocol to minimize inefficiencies, maintain updated confirmation call logs, and ensure documentation of confirmation efforts.
- Inform Director of schedule variations to reconcile staffing each month.
Other Business Duties:
- Filing as needed; preparing files for storage and record-keeping.
- Participate in special projects as assigned.
- Comply with all applicable company and client hospital policies and procedures, with attention to ethics and compliance programs.
- Maintain professional conduct at all times and professional appearance when onsite or in web conferences.
- Proactively identify problems that may compromise service, quality, safety, or financial performance.
- Maintain a cooperative and team-oriented attitude with management, colleagues, and customers.
- Follow up on all commitments and assignments in a timely manner.
- Attendance: no more than 2 shifts of unplanned PTO per quarter (without MD note).
Education and Experience:
- Bachelors degree strongly preferred; high school diploma or GED required.
- 1+ year direct customer service experience (preferably in healthcare).
- Bilingual (Englhish/Spanish)
- Must meet Neurocare and Cook County immunization requirements, including: MMR, COVID, and annual flu vaccination.
- Strong computer skills: Microsoft Office and ability to learn new software quickly.
- High level of organization, communication, and administrative expertise.
- Exceptional telephone manner.
- Superior verbal and written communication, reflecting enthusiasm and professionalism.
- Dependability, attention to detail, ability to multi-task, problem solve, and follow through are essential.
