Administrative Assistant
Our client is a boutique investment management firm based in Chicago and they are currently seeking an Administrative Assistant to support their office operations, leadership team, and front desk during a critical period of coverage. This role is ideal for someone who enjoys creating a polished, organized office environment, is highly dependable, and brings a proactive, professional attitude to everything they do.
What You’ll Do:
- Open the office daily by 7:45 AM, tidy the front desk, and prepare for incoming meetings
- Monitor the office calendar and prepare conference rooms for visitors
- Greet guests warmly by name, escort them to meetings, offer beverages, and handle coat check
- Receive and distribute catering; ensure meeting rooms are clean and reset between appointments
- Sort and distribute daily mail and packages; scan and route documents under Office Manager direction
- Maintain office supply inventory, prepare online orders, receive and unpack deliveries
- Support team members with office-related tasks: copying, scanning, expense reporting, and supply research
- Keep pantry and supply cabinets organized and fully stocked
- Refill copy machines and notify Office Manager of building or facility issues
- Assist with client presentation book assembly, shipping, and document prep
- Help clean and organize office storage and common areas as needed
What You’ll Bring:
- Previous administrative or office support experience preferred
- Excellent interpersonal and communication skills; strong attention to detail
- Professionalism, punctuality, and ability to represent the company at the front desk
- Proficiency with Microsoft Office; comfort using email, scanning tools, and printers/copiers
- Ability to stay organized, juggle multiple tasks, and maintain a tidy and welcoming office environment
- A helpful, can-do attitude with flexibility to support the team as needed
