Position Overview

The Illinois Department of Transportation is seeking to hire an Office Coordinator for the Bureau of Design and Environment. The successful candidate will, under the direction of the Chief Contracts Official, perform functions related to critical operations of the department’s bid letting process to meet predetermined deadlines essential in accomplishing departmental goals. Coordinates contract and final bid paperwork through the entire bid letting process complicated by the constant overlapping of numerous letting cycle functions. Serves as a front-line resource for client requests, disseminating information to ensure efficient completion of required paperwork. Prepare documentation for lettings, including contracts and bonds. Maintains databases and generates reports.

Essential Functions

  • Participates in the coordination of critical functions between various departmental entities for accepting requests to bid and authorizing bidders.
  • Utilizing technical knowledge of the bid letting process, responds to daily phone, e-mail and walk-in client requests by offering immediate assistance or direction of inquiries.
  • Keyboards a variety of difficult materials requiring extensive knowledge of design bid letting terminology.
  • Maintains list of bidders within the ELM mainframe systems.
  • Utilizing the ELM system, analyzes requests for authorization to bid received from contractors for each individual bid letting and coordinates contractor’s need of revisions.
  • Performs other duties as required or assigned which are reasonable within the scope of those enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.
  • Requires ability to keyboard accurately at 30 wpm.

Preferred Qualifications

  • Prefers extensive knowledge of office practices, procedures, and programs.
  • Prefers extensive knowledge of composition, grammar, spelling, and punctuation.
  • Prefers extensive knowledge of basic mathematics.
  • Prefers working knowledge of the logic of computer programs.
  • Prefers ability to follow oral or written instructions.
  • Prefers ability to operate commonly used manual and automated office equipment and perform routine maintenance.
