Organizational Overview
The mission of LIVE FREE Illinois is to address violence against the black community and to create racial and economic justice in Illinois, by engaging people in public life to translate faith into action and to overcome barriers to opportunities in low-income communities, including mass incarceration, police violence, and gun violence.
Position Overview
The Director of Finance & Administration will direct the activities of the finance and accounting departments of Live Free Illinois to ensure that the financial position of LF is fairly and accurately represented. Ensure good communications with staff, Board and organizational leadership about key financial matters. Provide leadership around the financial direction of LF, in collaboration with the appropriate personnel. Ensure that LF complies with all reporting requirements including federal and state.
The ideal candidate will have a strong track record in nonprofit accounting and should be skilled in human resources, finances, and operations. The Director of Finance & Administration should be a resourceful self-starter who is able to work independently, creatively, and efficiently to accomplish a wide variety of tasks.
Responsibilities
Financial Administration
- Establish, monitor and enforce financial policies, procedures, controls and reporting systems, in collaboration with the Executive Director. Ensure that all financial policies are regularly updated and that staff/Board understands them.
- Manage organizational finances to ensure that books are accurate, in order, and up-to-date, and that financial reporting is produced in a timely manner.
- Monthly reconcile the financial transactions in Aplos.
- Prepare monthly analysis of financial reports.
- Manage cash flows consistent with financial requirements.
- Prepare supplemental financial reports as needed for development, donors, department managers, etc.
- In collaboration with appropriate personnel, guide staff annual budget preparation, implementation and maintenance.
- Prepare budgets for proposals.
- Supervise the collection of receipts from employees and reconciliation of PEX statements.
- Process accounts payable and cash receipts ensuring accurate allocation of expenses, contributions and partner payments.
- All government filings (including payroll notice responses, Forms 990, AG 990, annual reports, etc.).
- Oversee and supervise expense reimbursement, mileage reimbursement, and payment of bills/invoices.
- Produce monthly and vouchers for state grants.
- Manage accounting software.
- Propose improvements to systems.
- Keep senior managers informed of all pertinent financial matters.
- Provide training and education to staff, members and Board of Directors as needed.
- Liaise with external accounting and auditing teams to coordinate annual audit, and complete annual state and federal 990 tax filings.
- Stay up to date with industry trends and best practices.
- Recommend ways to increase the efficiency of the organization.
- Review and update grants tracker tool with Development Director to ensure alignment with Cash Flow, Budget and accounting records
Human Resources
- Supervise new employee and contractor onboarding and offboarding, including enrollment and termination of benefits, payroll, I-9 verification (and track document expirations), and other HR-related tasks;
- Ensure ongoing compliance with state-required staff trainings (e.g., sexual harassment training);
- Serve as the point person with payroll company (Gusto) for payroll administration and expense/mileage reimbursements; liaise to resolve any payroll or tax issues that arise;
- Oversee insurance compliance and renewals;
- Oversee time tracking for the team, including monthly and quarterly reporting for grants;
- Serve as an administrator on LF’s 401k account and supervise bi-monthly transfers and employer contributions; supervise the resolution of any 401k-related issues or changes that arise; and
- Supervise enrollment, termination, and changes in employee benefits and serve as a liaison with external benefits coordinator.
- Onboard new employees and contractors
- Serve as a primary point of contact for benefits providers {Northwestern Mutual and Human Interest} and process new hire benefits
- Partner with Executive Director to prepare and submit annual census materials
- Advise Executive Director and Board, as needed, regarding HR incidents
Compliance
- Complete benefits audit/compliance paperwork
- Support with insurance claims and renewals
- Any State or Federal Compliance Task

Education, Experience, and General Skills
- A commitment to Live Free’s mission.
- Bachelor’s degree in Accounting or equivalent experience. MBA or related advanced degree a plus.
- Five to ten years in nonprofit accounting experience; CPA or public accounting experience a plus.
- Computer literate with strong knowledge of financial worksheets.
- Knowledge of financial accounting software.
- Knowledge of GAAP.
- Good interpersonal, written and oral communication skills.
- Solid analytical and problem solving skills.
- Self motivated with a strict attention to details.
- Skill in analyzing and interpreting financial records.
- Skill in determining needs, gathering, analyzing and presenting data to provide accurate information for management’s use.
- Skill in preparing accurate and complex financial statements.
- Strong analytical and problem solving skills.
- Project management.
- Ability to handle sensitive and confidential information with maximum discretion
- Must have excellent mathematical and accounting skills to provide accurate analysis of budgets, financial projections, investment performance, etc.
