Business Office Manager
Title: Business Office Manager
Position Reports To: Accounting Manager
Brief Narrative of Position:
The Business Manager is the pillar of the Business Office, facilitating the day-to-day operations by maintaining student accounts, and managing the staff’s inquiries/purchasing needs. This role also bridges the school’s day-to-day operations and Finance by maintaining student accounts and billing, accounts payable, human resource support, and other general operations.
Primary Focus: Day-to-day office operations, student accounts, HR support, and accounts payable
Responsibilities:
Student Accounts
- Bill tuition, housing, and meal plans
- Manage payment plans, refunds, collections
- Communicate with students/responsible parties on billing
- Maintain records in CAMS, process payments, enter deposits
- General collections
Accounts Payable
- Manage PO, check request, credit card coding/entry
- Print, match, and distribute checks
- Submit year-end accruals, 1099s
- Invoice entry, coding, matching
- Check processing and deposits
- Assist in student account reviews and payment application
Receivables and Cash Receipts
- Record tuition and AR from CAMS to GP
- Process credit card and PayPal deposits
- Invoice donors/employees/vendors
HR, Payroll and Benefits Administration
- Employee Onboarding/Offboarding Procedures
- COBRA tracking, ACA notifications, employee changes
- Prepare work-study contracts/timesheets
Office Management
- Manage Business Office operations
- Ordering supplies/managing staff's general inquiries
- Coordinate with Finance staff to ensure proper organization and filing
- Manage basic office projects/liaison with Accounting Manager as needed
- Manage and assign work to student workers
Qualifications:
- 5-7 years of relevant office management or operations experience
- B.S. in Business and/or relevant undergraduate coursework
- Non-profit/higher education experience preferred
- Customer service/purchasing experience
- Accounts payable/receivable experience
- Basic bookkeeping skills are a plus
- General software application experience (MS Office - Word, Excel, PowerPoint, Outlook, Adobe, Beginner Excel skills)
- Excellent communication and organizational skills as well as a strong attention to detail in performance and written communication
- Outstanding collaborative skills and the ability to foster positive relationships with colleagues
- Excellent use of judgment and discretion
- Initiative and leadership
- Proven experience managing a small office
- Experience with accounting and/ or student information systems software a plus

Salary
Individual salaries that are offered to a candidate are determined after consideration of numerous factors including internal equity, market data, the candidate’s qualifications – including but not limited to specialty skills, prior relevant industry experience, relevant degrees or certifications. The salary range estimate below is inclusive of all departments within the institution and offered salaries may vary within the given range between departments. A reasonable estimate of the annual salary range for this level is $60,000-67,000. Competitive benefits include medical, dental, disability, life insurance, retirement contribution, vacation, and PTO.
