Position Overview
As an Administrative Assistant I within the Division of Patrol, under direction, approves code and sworn timekeeping requests and Stat 6 reports. Prepares and actions Officer Action Requests (OARs) and Personnel Action Requests (PARs). Ensures completion of command group tracking spreadsheets such as personnel, training, and equipment rosters. Receives and processes FOIA requests, coordinating with work unit staff to compile necessary information/documentation. Oversees and maintains accurate financial ledgers. Prepares annual budget proposal. Independently researches, reviews, and analyzes technical reports. Assigns and reviews work. Performs other duties as required or assigned, which are reasonably within the scope of the duties enumerated above.

Essential Functions
- Responsible for the creation, oversight, tracking and preparation of personnel related documents, spreadsheets, reports and actions to maintain the ability for the command group to efficiently and accurately present personnel data as needed.
- Serves as the Freedom of Information Act (FOIA) and Subpoena Liaison for the division; Responding to FOIA / Subpoena requests, utilizing the ability to interpret and determine deadlines and command group responsibility of responses to such requests.
- Serves a principal SOG Budget Manager.
- Acts as liaison and command staff representative between Command Staff and the Deputy Director and his/her subordinate staff as well as other divisions, bureaus, and offices within and outside of the Department.
- Serves as a full line supervisor.
- Serve as unit Telecom Liaison.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
- Requires one years of professional experience in a public or private organization.
Preferred Qualifications
- Prefers at least four (4) years of professional experience working with fiscal related data and budget preparation.
- Prefers at least four (4) years of professional experience working with the Microsoft Office Suite or equivalent computer software.
- Prefers at least four (4) years of professional experience utilizing and manipulating spreadsheets to extract, track and organize personnel, fiscal and / or equipment information.
- Prefers at least two (2) years of professional experience communicating and interacting with management and agency officials.
- Prefers at least two (2) years of professional experience working with and maintaining confidential information.
- Prefers at least four (4) years of professional experience gathering data and compiling information for the preparation of documents and reports.
- Prefers at least two (2) years of professional experience initiating requests for information and establishing deadlines for responses.
