SAFETY ADMINISTRATIVE ASSISTANT I
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned
- Assists with EHS administrative functions, including but not limited to: database management, data entry, printing, laminating, and issuing PIT licenses, and other safety-related information; scanning, filing, and saving key EHS documentation; screening phone calls; distributing printed and electronic information.
- Ordering Personal Protective Equipment (PPE) and distributing to appropriate employees or supervisors.
- Coordinates and maintains information, records, and resources for the Safety area. Analyzes incident statistics and reports monthly.
- Aids in record retention and document control of safety programs and training documents.
- Provides administrative support as directed for various safety teams, committees, and subcommittees for all locations.
- Creates, coordinates and tracks Safety Suggestion Awards and NEST activities.
- Ordering general office and safety department supplies
- Handles details of a confidential nature such as employee injury reports and other special reports. Follows policy regarding release of information.
- Complies with safety and GMP requirements.
SAFETY RESPONSIBILITY STATEMENT
Supports a culture of safe production and operations; follows all safety rules and procedures. Actively participates in the safety program by: engaging in training activities to learn what constitutes a safety hazard; reporting safety concerns to the supervisor, submitting safety suggestions, and correcting or reporting to the appropriate people when an employee sees a workplace health or safety hazard, until it is resolved. Assists with communicating safety information to new employees. Fulfills responsibilities as outlined in the company safety management plan.

EDUCATION and/or EXPERIENCE
High School Graduate, or GED and/or training in office administration/support experience, preferably supporting EHS functions, or equivalent combination of education and experience. General knowledge of OSHA recordkeeping and health and safety programs preferred.
ORGANIZATIONAL SKILLS
Ability to effectively organize workload, coordinate multiple projects, and prepare documents to manage information.
LANGUAGE SKILLS
Ability to write reports, business correspondence, and general office communications. Ability to communicate effectively and act as an "ambassador" for the company. Excellent verbal and written communication skills required.
REASONING ABILITY
Good problem solving and judgement skills required.
OTHER SKILLS and ABILITIES
- Strong computer proficiency, including advanced skills with PowerPoint and Excel, including the ability to compile charts and data within Excel.
- Self-motivated and possess the ability to work independently and as part of a team.
- Strong attention to detail and administrative skills required.
- Ability to quickly learn new processes and procedures.
- Ability to maintain confidentiality of information and follow policy regarding release of information.
