Job Description

The Coordinator reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.

The Coordinator will work closely with staff, managers, and directors for assigned areas. This will include support to work plans, metrics and resources to achieve the strategic goals and objectives on the activities to assigned staff. Support may include work related to the Community Health Needs Assessment, the Community Health Improvement Plan and/or other Northwestern Medicine programs that may align with the External and Community Affairs Division.

Responsibilities:

  • Partners with internal colleagues and external departments to ensure integrated, consistent programming and communications for community members, patients and other customers of Northwestern Medicine.
  • Ability to collaborate with clinical and non-clinical colleagues to develop program and collateral materials.
  • Provides administrative support to the department.
  • Documents appropriate data and submits reports as required.
  • Coordinates the evaluation of programs, analyzes data, recommends changes as necessary.
  • Aids with purchasing, reconciling expenses and within assigned cost centers.
  • Works with vendors in order to maintain the necessary supplies and equipment for staff, managers, and directors.
  • Provides support to health and wellness programs and initiatives.

ADDENDUM:

Overview:

Serve as a point of contact for residents, guests, and visitors to the NM Bronzeville Community Space. Support the Program Manager in providing exceptional customer experience while ensuring smooth operations. Manage key responsibilities to include actively engaging with community members, handling inquiries, managing daily tasks as assigned and providing support for community space operations.

Experience (preferred):

  • Understanding and knowledge of under-resourced communities, cities and neighborhoods in hospital service area.
  • Ability to serve as a key liaison between Northwestern Medicine and community-based organizations, agencies and neighborhoods.
  • Experience with reservation management systems; ability to assist community members and guests with check-in and check-out procedures.
  • Experience with supporting community-based partnerships to ensure effectiveness and impact of programming.

Key duties:

  • Serve as point of contact when greeting community members, residents, guests, and visitors and ensure an exceptional NM customer experience.
  • Provide front desk support, answer phones, and respond to e-mail inquiries concerning the community space.
  • Facilitate tours of the community space and actively promote and share information regarding upcoming NM clinical and community education and programming.
  • Maintain inventory and supplies and order new supplies, as needed to support on-site programming.
  • Develops and maintains program schedule and coordinates with scheduling of staff (clinical and non-clinical). Schedules the appropriate number of staff for each event/program in accordance with program objectives and in alignment with budgetary guidelines.
  • Flexible schedule to work some evenings or weekends for community & student-focused activities. Approximately 3-5 times a month in accordance with the published community space calendar; ensure an exceptional NM customer experience.
  • Coordinates and may facilitate health and wellness classes/programs according to Community Health Institute guidelines and/or any grant requirements.
  • Maintain health and wellness education outcomes, evaluations and reports for existing and new programs.
  • Support facility operations and ensure community space is clean at all times.
Qualifications

Required:

  • Minimum of three to five years’ experience in community outreach/education or other general office experience.
  • Ability to manage budget, track details, focus on program support.
  • Strong knowledge of Microsoft: Word, Excel, Power Point.
  • Excellent written, verbal and communication skills, demonstrated ability to effectively establish and maintain working relationships with peers and constituents at all levels of the organization. Ability to represent the organization at community events; strong public speaking and presentation skills.
  • Available to work occasional evening and weekend hours.
