HALO is looking for a Marketing Specialist – Event Planner who will support the execution of HALO’s marketing-led events and brand experiences, helping bring our vision to life through thoughtful coordination, strong operational support, and attention to detail. This role plays a key part in ensuring events are well-organized, on-brand, and executed seamlessly. Working closely with the Senior Marketing Manager – Events and cross-functional partners, this role supports internal and external events including Brand Shows, leadership meetings, sales events, trade shows, and client experiences. This is an execution-focused role ideal for someone looking to grow in event marketing and experiential brand work.
Responsibilities
Event Execution Support
- Support the planning and execution of internal and external events from pre-planning through onsite delivery
- Assist with event timelines, production schedules, and run-of-show documentation
- Provide on-site event support, including registration, speaker coordination, vendor support, and attendee management
Logistics & Operations
- Coordinate operational components such as venues, rooming lists, catering, AV, transportation, and vendor logistics
- Assist with managing contracts, invoices, and budget tracking under the direction of the Senior Marketing Manager – Events
- Support sourcing and coordination of vendors and event partners
Brand & Creative Coordination
- Partner with Marketing and Creative teams to ensure branding, signage, presentations, and materials are accurate and on-brand
- Assist with execution of branded moments including signage, staging, gifting, and attendee materials
- Support premium gifting initiatives and onsite brand activations
Internal Coordination
- Collaborate with Marketing, Sales, Supplier Relations, and internal stakeholders to support event communications and logistics
- Help manage attendee communications, registration platforms, and event technology tools
Post-Event Support
- Assist with post-event wrap-up including feedback collection, reporting, and documentation
- Help identify opportunities to improve processes, templates, and execution for future events
- 4+ years of experience in event coordination, marketing coordination, or related roles
- Strong organizational and project management skills with high attention to detail
- Experience with event registration platforms, CRM systems, or marketing tools
- Ability to manage multiple projects and deadlines in a fast-paced environment
- Comfortable communicating with vendors, internal teams, and event stakeholders
- Must be willing and able to travel and support events onsite nationwide
Compensation: The estimated base salary range for this position is between $55,000 - $75,000 annually. Please note that this pay range serves as a general guideline and reflects a broad spectrum of labor markets across the US. While it is uncommon for candidates to be hired at or near the top of the range, compensation decisions are influenced by various factors. At HALO, these include, but are not limited to, the scope and responsibilities of the role, the candidate's work experience, location, education and training, key skills, internal equity, external market data, and broader market and business considerations.
