PROJECT COORDINATOR-CONSULTANT

Maestro Cares Foundation is seeking a detail-oriented and highly organized Project Coordinator to join our growing team. In this key role, you’ll support our Projects Department in managing nonprofit projects, coordinating events, and ensuring effective communication between internal teams and external stakeholders.

This is an in-office, full-time role based in Chicago, IL. The ideal candidate is bilingual (English/Spanish), proactive, passionate about nonprofit work, and thrives in a dynamic, mission-driven environment. This role is a unique opportunity to help deliver life-changing projects that provide homes, schools, and opportunities for disadvantaged children across Latin America and the United States.

SCOPE OF WORK

Project Support

· Assist with daily coordination of nonprofit projects across Latin America and the U.S.

· Monitor and update project data using database and file-sharing tools.

· Prepare project reports and updates for managers, donors, and stakeholders.

· Maintain project calendars and assist with scheduling visits and events.

· Act as a liaison between project sites, partners, and internal departments.

· Support data entry, document uploads, and digital file management.

· Coordinate domestic and international travel related to project site visits.

Event Support

· Assist in planning and executing events, such as groundbreaking events, grand openings, receptions, and more.

· Manage logistics and communication for on-site event activities.

· Compile post-event reports, recaps, and evaluations.

· Coordinate vendor services, event timelines, and travel logistics.

Administrative Support

· Provide general administrative assistance to Project Manager(s).

· Support cross-functional collaboration with communications, development, and leadership teams.

· Help improve internal systems and streamline workflow processes.

Other

Maestro Cares Foundation employees are expected to be flexible and to take on additional duties as assigned, according to the organization’s needs and the staff member’s skills and abilities. MCF is a non-profit that serves the community, and some events or projects may require occasional work on night or weekends.

QUALIFICATIONS

Required

· Bachelor’s degree or equivalent relevant experience.

· Fluent in English and Spanish (written and verbal).

· U.S. Passport and willingness to travel domestically and internationally (approximately 25%).

· Strong organizational, time management, and communication skills.

· High attention to detail and ability to manage multiple priorities simultaneously.

· Proficiency in Microsoft Office, Google Workspace, and digital file-sharing platforms.

· Must successfully pass a background check (due to working with youth-serving programs).

Preferred

· Experience in project coordination, nonprofit management, or events

· Intermediate proficiency in Salesforce.

· Familiarity with project management and collaboration tools (e.g., Trello, Asana, Monday.com).

· Experience coordinating with international partners.

ENGAGEMENT TERMS

Location: Chicago, IL (in-office presence required).

Estimated Hours: 40 hours/week

Contract Length : Initial 3-month contract; performance review at the end of term to determine eligibility for permanent staff position.

Compensation: Commensurate with experience; structure (hourly or retainer) to be determined during the hiring process.
