Overview
Mayer Networks is seeking a highly skilled and versatile Finance & Office Manager to oversee accounting, finance, and daily office operations. This hybrid role combines advanced accounting expertise with office management responsibilities to ensure smooth organizational operations, financial integrity, and compliance. The Finance & Office Manager will partner closely with leadership and staff to manage both back-office administration and critical finance functions.
This is a pivotal position for a self-motivated, detail-oriented professional who thrives in a fast-paced environment and wants to play a central role in both operational and financial success.
Key Responsibilities
Finance & Accounting (Senior Accountant Duties)
- Manage finance and accounting functions, including budgeting, audit processes, and month-end close, in compliance with U.S. GAAP standards.
- Oversee daily accounting operations: General Ledger, Accounts Receivable, Accounts Payable, Payroll, Invoicing, Fixed Assets, Collections, Monthly Reconciliations, and Sales/Use Tax.
- Maintain and continuously improve Standard Operating Procedures (SOPs) for accounting and finance functions.
- Prepare and oversee financial reporting for internal, corporate, and peer group requirements.
- Administer customer billing processes, including monthly and annual price changes, billing-related incentives, and commissions.
- Liaise with banks, landlords, vendors, and suppliers to ensure proper financial management.
- Interface with state and federal agencies to ensure compliance with tax regulations and employment-related matters.
- Lead special projects and financial analysis to support business decisions.
Office Management & Administration
- Supervise daily office operations, ensuring a well-organized and efficient workplace.
- Serve as the primary point of contact for staff HR-related inquiries (timesheets, benefits coordination, onboarding paperwork).
- Manage vendor contracts, office supply procurement, and service agreements.
- Oversee insurance policies, renewals, and claims processes for business and employee coverage.
- Support leadership with scheduling, travel coordination, and internal communications.
- Maintain records, files, and compliance documents across HR, facilities, and finance.
- Coordinate IT asset tracking in collaboration with technical staff (laptops, phones, etc.).
- Assist in recruitment efforts by posting jobs, coordinating interviews, and onboarding new hires.
- Organize company meetings, events, and employee engagement activities.
Qualifications
- In-depth QuickBooks experience required
- Bachelor’s or Associate’s degree in Accounting, Finance, or related field (CPA a plus).
- Strong knowledge of U.S. GAAP and accounting practices.
- Proven experience managing accounting functions, payroll, and financial reporting.
- Experience with office management, HR administration, or business operations.
- Exceptional organizational skills with ability to balance multiple priorities.
- Strong communication and interpersonal skills for cross-team collaboration.
- Self-motivated, resourceful, and able to work independently.
- Experience in the Managed Service Provider (MSP) industry is a plus.
Compensation & Benefits
- Base Salary: $70,000 Annually
- Paid Time Off (Year 1): 5 PTO (PLAWA) days
- Paid Time Off (After Year 1): 5 PTO (PLAWA) days, 5 Paid Sick Days, 5 Paid Vacation Days
- Health Insurance: 99% company-paid health insurance, effective after 60 days of employment
- Stipends: $50 monthly cell phone stipend
