Duties and Responsibilities
- Oversee daily office operations and ensure the office functions smoothly.
- Manage general administrative activities, including but not limited to handling correspondence, managing office supplies, and maintaining office equipment.
- Develop and implement office policies and procedures to improve efficiency.
- Supervise administrative staff, providing guidance and training as needed.
- Foster a conducive work environment and maintain professional office standards.
- Coordinate with IT department on all office equipment and software needs, ensuring timely updates and troubleshooting.
- Assist with budget preparation for office supplies and other expenditures.
- Liaise with HR to ensure efficient payroll processing, employee onboarding, and implementation of company policies.
- Manage relationships with vendors, service providers, and landlords; negotiate contracts to optimize delivery and cost-saving opportunities.
- Handle emergency issues that arise and escalate them to the appropriate channels in a timely manner.
- Organize and archive office documentation effectively, maintaining confidentiality and accessibility for authorized staff.
- Ensure compliance with health and safety regulations regarding the office environment.
- Support the planning and execution of company events and meetings.
- Budget management.
Requirements
- Bachelor’s degree in Business Administration, Management, or relevant field.
- A minimum of 5 years experience in office management, operations, or a similar role.
- Strong leadership and decision-making skills.
- Excellent organizational and multitasking abilities.
- Experience managing budgets.
- Outstanding verbal and written communication skills.
- Adept at planning and coordinating logistic operations within the office.
- Proficiency in Microsoft Office Suite, CRM, and office management software.
- Knowledge of HR functions, including basic labor laws and payroll practices.
- Ability to handle confidential information with discretion and integrity.
- Must be proactive, with an enthusiastic approach to continuous improvement.
- Strong problem-solving skills, with an ability to make sound judgments in a fast-paced environment.
- Experience in handling budgets and expenses.
