Neville Engineering is an established engineering firm with over 10 years in business, specializing in
mechanical, electrical, and plumbing (MEP) design. We are seeking an Office & Operations
The coordinator will provide administrative support to our engineering team. This role reports directly to the
President who works closely with the team to manage the development, collection, and submission of
documents related to proposals, project requirements, progress reports, and invoicing.
The ideal candidate will be highly organized, proactive, and able to work independently. This is a great

responsibilities as the company grows.
Responsibilities:
Sales Prospect Management
● Track and organize requests for proposals and verify submission requirements
● Follow up with all prospects via email and phone to schedule discovery calls
● Ensure proposals are sent promptly and conduct follow-up to move prospects through the pipeline
Project Administration
● Create and maintain project/job database; track hours to estimate and organize related documents
● Preparation of submittals and permit packages; collect required certificates and W-9s
Billing Receivables

• ● Manage open receivables and follow up with clients for payment on outstanding balances

● Organize invoicing and assist with the resolution of billing issues
Internal Support HR
● Track professional development hours and support licensing applications/renewals
● Support job postings, interviews, and new hire onboarding
Marketing Client Communications
● Support marketing efforts and maintain customer/prospect lists
● Help manage outbound communications and light CRM upkeep
Office Team Operations
● Oversee general office functions and coordination of supplies/facilities
● Plan and follow up on team meetings and internal action items
Required Skills:
● Associate's degree or demonstrated ability to meet the job requirements through applicable work
experience.
● Prior work experience in an engineering, construction or architectural business is a plus

● Proficiency with Excel
● Experience with QuickBooks
● Detail Oriented with strong work ethic
● Self-starter with excellent organization and communication skills
● Ability to multi-task and work independently in a growing entrepreneurial environment
