Administrative Assistant (Chicago)

An innovative, mission-driven organization is seeking a highly organized, proactive Administrative Assistant to support senior leadership and the executive team during a pivotal growth phase. Responsibilities

  • Provide high-level administrative and operational support to senior leadership and board members.
  • Coordinate complex calendars and scheduling across multiple stakeholders, ensuring alignment among competing priorities and commitments.
  • Prepare, refine, and manage executive-level communications, reports, presentations, and other written materials with accuracy and discretion.
  • Support the planning and execution of board and committee meetings, including agendas, materials, logistics, and post-meeting follow-up.
  • Maintain key records, databases, and documentation systems to ensure accuracy, accessibility, and consistency.
  • Act as a reliable liaison between leadership and internal/external partners, ensuring clear, timely, and professional communication flow.
  • Coordinate logistics for firm events and outside initiatives, ensuring seamless execution.
  • Proactively anticipate needs, streamline workflows, and identify opportunities to improve efficiency and organization across administrative functions.
  • Manage assigned projects from initiation through completion, ensuring deadlines are met and priorities are effectively tracked.

Ideal Experience

  • A college degree is preferred, with 2+ years of executive or administrative support experience, ideally in a fast-paced or entrepreneurial environment.
  • Exceptional organizational skills with strong attention to detail and shifting priorities.
  • Proactive mindset with the ability to anticipate needs and follow through independently
  • Strong communication skills, both written and verbal, and comfortable working with senior leaders.
  • Tech-savvy with experience in Microsoft Office, Zoom, and shared documentation tools.
  • Ability to maintain discretion and handle sensitive information with discretion and sound judgment.
