Job Title: Administrative Assistant/Receptionist
Reports to: Steven Welsch
Position Status: Full-Time
GENERAL PURPOSE OF JOB:
We are seeking a highly experienced and detail-oriented Administrative Assistant to support senior and executive-level leadership. This role will serve as a key partner to the leadership team by managing a wide range of administrative and operational tasks. The ideal candidate brings deep experience in executive support, office administration, and vendor coordination within a corporate or industrial environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Front Desk Management:
- Greet visitors, answer and direct phone calls, manage incoming and outgoing mail.
Administrative Support:
- Provide logistics support during peak periods, including container entry, container building, freight cost entry, and tariff entry.
Clerical Tasks:
- Prepare documents, reports, presentations, and other correspondence.
General Office Tasks:
- Order supplies, maintain a clean and organized reception area. Light Receiving and Shipping duties.
Customer Service:
- Provide excellent customer service and maintain confidentiality.
Software Proficiency:
- Operate standard office equipment and be proficient in Microsoft Office Suite and other relevant software.
REASONING ABILITY:
Reasoning Ability includes critical thinking, sound decision-making, adaptability, and the ability to manage multiple tasks and priorities with precision and flexibility. These abilities enable the assistant to not only handle day-to-day operational tasks but also contribute to the overall efficiency and productivity of the executive team.
LANGUAGE SKILLS:
Language skills for an Administrative Assistant are not only about conveying information clearly but also about doing so in a professional, tactful, and appropriate manner for various situations and audiences. Strong written and verbal communication abilities enable the assistant to support executives effectively, ensuring smooth day-to-day operations and fostering positive professional relationships. Spanish speaking a plus.
EDUCATION and/or EXPERIENCE:
Requires a combination of formal education (ranging from a high school diploma to a Bachelor’s degree) and significant work experience (5–10 years, with higher-level positions requiring more). Specialized certifications and skills such as proficiency in office software, communication tools, and organizational skills can also significantly enhance a candidate’s qualifications for the role.
