Salary: $22.38 per hour, per current CPA Collective Bargaining Agreement (grade 2). FLSA Status: Non-Exempt Job Summary: Performs secretarial support to Assistant Principal of Operations including but not limited to reception, processing of documents, administrative support to projects and programs, maintenance and retrieval of confidential student records, and basic recordkeeping. Provides support and communicates information to students, staff, the public, and other agencies. Essential Duties and Responsibilities include the following. Other duties may be assigned. - Serves as the secretary to the Assistant Principal of Operations
- Organizes work by setting up calendars and cycles, then establishing and sequencing deadlines and/or timelines for projects, activities, and required submissions and reports.
- Coordinates and performs the administrative aspects of projects and events, integrating them with ongoing work routines.
- Coordinates and schedules meetings as directed. Prepares schedules and informs participants,confirming dates and times.
- Receives walk-in guests and telephone inquiries from a variety of individuals including students, parents, community members, teachers and administrators.
- Initiates and receives telephone calls, provides information and resolves matters as appropriate, or routes calls as necessary.
- Assists with preparation and monitoring the budget.
- Prepares office mailings, accounts and records.
- Flexibility to work some evenings as needed to support office programming and initiatives.
- Assists with the preparation of reports and mailings.
- Handles department document revisions, updates and postings.
- Composes forms, memos and letters.
- Takes and transcribes the dictation of meeting notes and minutes.
- Handles confidential material.
- Places and handles all departmental ordering.
- Assists with meeting set-up.
- Updates and revises departmental informational sites.
- Assists with parking coordination.
- Coordinates, prepares, and maintains all hallway room signs
- Assists with enrolling parochial students into Driver's Ed classes.
- Assists Registrar's office with graduation logistics.
- Assists Registrar's office with online enrollment and residency verification process.
- Assists District Investigators with case documentation.
- Sets up, monitors and updates Summer School Course Master.
- Supports Summer School session with scheduling duties.
- Other duties as assigned.
Qualifications: - High school diploma required, Bachelor or Associate degree preferred.
- Previous secretarial or administrative assistant experience, preferably in a school setting.
- Typing: 55 wpm minimum
- Proficient in Microsoft Office Suite and Google Workspace including the ability to use functions in spreadsheets. Strong organizational and technology skills including proficiency in Word, Excel, Google Docs, Outlook, merging documents, planning and managing projects, preparing and maintaining accurate records.
- Strong organizational skills.
- Capable of using the school student information system and core assessment software including reporting functions.
- Excellent communication skills, verbal and written; writing and proofreading skills preferred.
- Knowledge of general functions of the school and community and demonstrates skill in coordinating and organizing work effectively and prioritizing demands in a timely manner.
- Ability to maintain good working relationships with the various school constituencies, including students, faculty, administration, staff, parents, vendors, community organizations, and all other community contacts.
- Good knowledge of business English, spelling, modern office practices and procedures.
Supervisory Responsibilities: There are no supervisory responsibilities associated with this position. Physical Skills and Demands: Standing, sitting, lifting, carrying, reaching, fine motor dexterity, talking, hearing, near visual acuity required.
