Management support specialist

Job Summary
This exciting entry level role provides administrative and program support to The Ark’s Social Services team. This part-time role assists case managers by handling routine client service tasks, processing food pantry orders, and supporting the smooth flow of client care. The position is designed to reduce administrative burden on case managers so they can focus on higher-level care coordination responsibilities.
Responsibilities / Duties
Client support and administrative tasks (60%)
- Process and coordinate food pantry orders on behalf of clients.
- Assist clients with completing applications, forms, and other documentation needed for services.
- Help clients with routine tasks that support their service plans (e.g., scheduling appointments, filling out basic requests, navigating online portals).
- Document all assistance provided in client records and databases.
Case Manager Support (30%)
- Provide administrative support to case managers by handling follow-up items and routine service requests.
- Ensure timely communication between clients and case managers.
- Support coordination across departments to facilitate smooth client experiences.
Other responsibilities (10%)
- Participate in team meetings, trainings, and supervision.
- Contribute to continuous improvement efforts to enhance client services.
- Assist with other administrative duties as needed.
Qualifications
- Preferred: Associate’s or Bachelor’s degree in Social Work, Human Services, or related field (or equivalent relevant experience).
- Prior administrative experience in a social services, nonprofit, or customer service setting.
- Experience working with individuals and families from diverse backgrounds.
- Familiarity with community resources and social service processes preferred.
- Specialized Knowledge, Skills & Abilities
- Strong organizational skills with ability to manage multiple tasks and deadlines.
- Proficiency with Microsoft Office and client databases (Salesforce experience preferred).
- Excellent communication and interpersonal skills.
- Ability to work collaboratively with staff, volunteers, and clients.
- Commitment to empathy, dignity, and cultural humility in service delivery.
