Job Description
Position Overview:
We are seeking a highly organized, detail-oriented, and proactive Culture & Operations Specialist to serve as the right hand to the President. This critical role ensures that our internal culture remains strong and that communication, accountability, and operational coordination across the company are consistently high performing.
The ideal candidate is a natural communicator and a champion of company culture who thrives in fast-paced environments, knows how to navigate corporate structures, and can effectively drive follow-through on priorities and commitments. This person will coordinate internal initiatives, track progress across departments, ensure timely execution of internal deliverables, and foster alignment throughout the organization.
Key Responsibilities:
- Culture Stewardship
- Promote and reinforce company culture, values, and internal engagement efforts.
- Act as a culture ambassador by identifying and supporting initiatives that boost morale, inclusion, and team unity.
- Coordinate internal events, recognition programs, and communication campaigns that support cultural goals.
- Operational Support & Accountability
- Track internal deadlines, commitments, and priorities across all departments.
- Maintain an active list of assignments from executive and departmental meetings and ensure timely follow-ups.
- Hold individuals and teams accountable to deliverables and commitments.
- Executive Support
- Work directly with the President to prioritize and execute internal initiatives.
- Prepare agendas, coordinate logistics, and document discussions for executive and departmental meetings.
- Follow up with stakeholders to ensure alignment and progress on initiatives.
- Communication & Coordination
- Ensure clear, consistent communication throughout the company on priorities, updates, and progress.
- Create concise summaries, dashboards, and status updates for executive and team meetings.
- Maintain a clear organizational pulse and surface issues that need executive attention.
- Energetic and outgoing to all customers, internal and external.
- Technology & Systems Management
- Be highly computer literate and proficient in using productivity tools (e.g., Microsoft Office, Google Workspace, task management systems like Asana, Monday.com, Trello, etc.).
- Create and maintain systems to organize information, assignments, and follow-ups.
Qualifications:
- Proven experience in internal operations, executive coordination, project management, or a similar role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Detail-oriented with a high standard of follow-through and accountability.
- Proactive and assertive in driving outcomes and navigating challenges.
- Tech-savvy and comfortable learning and managing digital tools and platforms.
- Professional demeanor with the ability to maintain confidentiality and handle sensitive information.
- Experience working closely with senior leadership.
Reporting Structure:
Reports directly to the President.
