Office Manager
Wow Bao is seeking an Office Manager to ensure the smooth and efficient operation of the corporate office while providing exceptional support to associates and leadership. This role oversees office administration, corporate travel coordination, payroll support, credit card reconciliation, IT vendor coordination, customer service inquiries, employee engagement activities and special projects. The ideal candidate is proactive, highly organized, detailed-oriented, and thrives in a fast-paced, hospitality-focused environment. This position requires 5 days a week on site in our River North office (Chicago, IL).

Requirements
ESSENTIAL FUNCTIONS ( Other duties will be assigned as needed)
OFFICE OPERATIONS
- Serve as the primary point of contact for all day-to-day office needs and inquiries including customer service.
- Maintain a clean, organized, well-stocked, and welcoming office environment.
- Manage office supplies, equipment, inventory (on-site and off-site), and relationships with vendors and building management.
- Oversee mail, shipping/receiving and general office logistics.
- Manage 3rd party IT support: assist with new user setup, tracking hardware/software needs, troubleshooting coordination, and ensuring timely resolution of IT issues.
- Perform calmly and effectively in an extremely busy and fast-paced work environment.
- Other tasks and projects assigned on an as needed basis.
CORPORATE TRAVEL & EXECUTIVE LEVEL SUPPORT
- Work as an Executive Assistant to the CEO, supporting local and out of town travel needs, reconciling credit card statements, and assisting with special projects.
- Serve as the central point for booking and managing travel for corporate employees while adhering to the company travel policies.
- Available to assist outside of normal working hours as needed. This may include being on-call for after work hours, weekends and holidays.
ADMINISTRATIVE & EMPLOYEE SUPPORT
- Support HR and employee experience activities, including new hire onboarding and off boarding.
- Payroll support by gathering, verifying, and submit bi-weekly payroll. Serve as the liaison to resolve issues or questions, ensuring accuracy and confidentiality.
- Foster a warm, positive environment that reflects Wow Bao’s culture of CARE and values.
- Assist in planning events, celebrations, employee engagement activities, and team-building initiatives.
- Coordinate and oversee office meals, birthday celebrations, holiday events, and other special events including planning, company outings, ordering food, setup, and day-of-execution.
ADDITIONAL REQUIREMENTS
- 2+ years of experience in office management, HR support, payroll support, or administrative roles.
- Experience in coordinating corporate travel strongly preferred.
- Strong attention to detail with a sense of urgency, organization and follow-through.
- Possess a team mentality, with a yes I can / yes I will attitude.
- Excellent communication and interpersonal skills.
- Partake in a professional and positive work environment.
- Excellent reading, writing, and oral proficiency of the English language.
- Proficiency with Microsoft Office suite, experience with payroll platform is a plus.
- Available to assist in special events such as Lollapalooza as needed.
- Ability to manage sensitive information with professional and discretion.
- Perform calmly and effectively in a fast-paced work environment.
The salary range for this position is $65,000 to $75,000. The actual salary amount will vary depending on the applicant’s experience, skills and abilities as well as internal equity and market data. Wow Bao is an Equal Opportunity Employer.
