We are seeking a highly organized and proactive Executive Assistant / Office Manager to join our team. This hybrid role combines high-level executive support with responsibility for the smooth day-to-day operation of our office. Key Responsibilities

Executive Support

• Manage complex calendars and schedule meetings.
• Provide support for the executive, handling correspondence, reviewing contracts, and preparing meeting documents.
• Assist with projects, conduct research, and perform routine administrative tasks.
• Maintain strict confidentiality when handling sensitive information.

Office Management

• Manage small office staff, onboarding and offboarding employees, and track employee PTO.
• Maintain monthly sales report by project manager.
• Oversee office facilities, and ensure a clean, efficient workspace.
• Manage vendor relationships for technology, cleaning, and other services.
• Organize staff meetings and maintain filing systems.
• Track office expenses, reconcile credit card purchases, and manage vendor payments.

Qualifications

• Organizational Skills & Time Management: Ability to manage multiple tasks and projects independently in a timely manner.
• Communication: Strong verbal and written communication skills.
• Technical Proficiency: Advanced knowledge of Microsoft Office Suite and other office software.
• Professionalism: High integrity and discretion when handling confidential matters.
• Flexibility: Adaptable and resourceful in handling unexpected situations and shifting priorities.
• Maintain confidentiality: Handle sensitive information with discretion and professionalism.
