Data and Outcomes Administrator

The Data & Outcomes Administrator plays a critical role in measuring and communicating Erie House’s impact through data. This position is responsible for managing the organization’s Salesforce platform, leveraging Exponent Case Management (ECM) to optimize data tracking, ensure accuracy, and report program effectiveness.


The Data + Outcomes Administrator works in collaboration with organizational leadership to determine what data is necessary to measure outcomes critical to organization’s success and quality assurance, and helps determine how that data should be reviewed, analyzed, and acted upon on a regular basis.

The ideal candidate has experience in program evaluation, is proficient in Salesforce, and brings a strategic mindset to data collection and analysis. This role offers an opportunity to enhance Erie House’s ability to measure, understand, and improve its programs with a focus on long-term growth, sustainability, and program refinement.

POSITION RESPONSIBILITIES:
Culture & Capacity:

  • Engage with staff members throughout the organization to understand their evaluation and data needs.
  • Support staff as they work to input and utilize participant data and outcomes; ensure complete and accurate data entry via regular staff training and maintenance procedures
  • Design, modify, and oversee the administration of data collection instruments, such as surveys and questionnaires
  • Maintain user manuals and training documentation to ensure staff has the knowledge to complete data entry duties
  • Continually review the structure of the database to ensure it serves the purpose intended to capture and report data.
  • Conduct bi-weekly audits of the quality and timeliness of data entered by program staff and provide feedback to Program Directors and SDP.

Analysis & Reporting :

  • Analyze evaluation results, identify trends, and recommend improvements to strengthen data reliability and validity.
  • Develop systems to track deliverables; identify system deficiencies and recommend solutions to improve the program quality.
  • Generate monthly, quarterly, and annual reports summarizing organizational data and impact metrics.
  • Partner with the development team to produce compelling impact reports for internal and external stakeholders.
  • Report monthly at Program Directors meetings regarding the data collection process and quality of outcomes.
  • Provide written reports and meet monthly with SDP to review program reports and evaluate the need for new types of data entry or report formats.
  • Collaborate with the Chicago Benchmarking Collaborative, a network of Salesforce user organizations that share outcome data and convene regularly to identify opportunities for program enhancement and strategic improvements.


Systems Management:

  • Manage organization’s evaluation activities across multiple platforms and settings, while simultaneously promoting conformity and consistency among all collected data and existing survey instruments.
  • Serve as the primary manager of databases including but not limited to Salesforce; increase data system usage among program staff and leadership.
  • Support system enhancement (and migration to new platforms when necessary).
  • Evaluate technology contracts for potential cost savings and recommend optimization strategies.


POSITION REQUIREMENTS:

  • Salesforce administration required . Experience with SurveyMonkey preferred.
  • Two years of data administration and reporting experience with medium to large sized organizations.
  • Experience with Exponent Case Management (ECM) software preferred.
  • Demonstrates knowledge of data management and systems.
  • Self-motivated and resourceful, significant evaluation/outcomes experience required.
  • Experience supporting and enhancing database processes that support many functional departments, or an equivalent combination of education, training, and experience.
  • Ability to synthesize complex concepts and translate their meaning.
  • Proficiency in Microsoft Excel, Word, Outlook, PowerPoint and Power BI (intermediate to advanced level).
  • Excellent organizational, written, and verbal communication skills.
  • Ability to work both independently and collaboratively in a diverse, multi-cultural environment.

Compensation : $25.00 - $27.00 / hour.
