Duties & Responsibilities
Using clearly established guidelines, this position will work independently to review requisitions for purchases and requests for reimbursements (travel and miscellaneous), verifying the information submitted is correct, ensuring appropriate use of university funds, coding and posting transactions using various campus systems including Emburse Enterprise, iBuy, and Banner.
- Prepares all types of vouchers used by the school for review by the Procurement Officer Supervisor.
- Responsible for holding a University PCard and TCard, acting as an agent of the school when placing orders.
- Responsible for problem resolution that is often complex and varied by researching and reconciling documents from outside sources and/or campus units by contacting units to determine causes of discrepancies and taking action to resolve.
- Composes correspondence to employees and non-employees regarding submissions of purchase requests or requests for reimbursement that requires knowledge of campus policies and procedures.
- Assist the Procurement Officer Supervisor with reports and data to help facilitate decision making on efficiencies within the procurement process at the school.
- Follows up with appropriate contacts on behalf of the Procurement Officer Supervisor to research discrepancies and recommends reconciliation options, and ensures corrective actions are carried out.
- Responsible for reviewing requests for payment of services and other transaction documents for completeness, accuracy, appropriateness of transaction, and conformity to policies, procedures, and/or contractual agreements.
- Responsible for resolving routine issues with customers.
- Using clearly established guidelines and procedures, provide guidance to school faculty and staff as well as visitors on procurement, payment, and reimbursement matters.
- Answers phones, directs calls and messages and offers assistance when applicable.
- Relays factual information for travel regulations, banner account coding, and all other University policies and procedures for processing purchasing items and reimbursements (both employee and non-employee).
- Facilitates communication with other departments (campus purchasing and payables) to determine the proper approach for handling issues. Other duties as assigned, to further the mission of the department.
Required Qualifications
1. Any one or any combination of the following, totaling one (1) year (12 months) from the categories below of which six (6) months must be actual work experience:
A. Work experience performing duties comparable to those performed at the Procurement Officer Assistant level of this series or in positions of comparable responsibility.
AND/OR
B. College credit for course work in any field
- 30 semester hours equals six (6) months
- 60 semester hours or associate’s degree equals one (1) year (12 months)
- 90 semester hours equals two (2) years (24 months)
- 120 semester hours or a bachelor’s degree equals three (3) years (36 months) master's degree or higher equals four (4) years (48 months)

- Ability to acquire knowledge of University and College requirements, procedures, rules, and regulations.
- Working knowledge of clerical procedures and office routines.
- Working knowledge of spreadsheet and word processing software such as Microsoft Excel and Microsoft Word.
- Working knowledge of e-mail software.

Appointment Information
This is a 100% full-time Civil Service 0308 - Procurement Officer position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. The budgeted salary range for the position is $45,000 to $55,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. This position is eligible for a hybrid work schedule (remote work and in-person work in Champaign-Urbana each week). Sponsorship for work authorization is not available for this position.
