Job Title: Facilities Coordinator (100% On-Site)

Compensation: $23.00 – $24.00 / per hour, with potential to convert to a permanent role at approximately $62,000–$65,000 annually
Work Schedule: Monday–Friday, 8:30 a.m.–5:30 p.m. (100% on-site)

The team works on a variety of projects in a fast-paced, client-focused setting and is seeking a Facilities Coordinator to help keep the office running smoothly and efficiently.
Job Description:
The Facilities Coordinator will support the day-to-day operation of a busy corporate office, working closely with the Facilities/Office Manager. This role is responsible for maintaining a clean, safe, and welcoming workspace, serving as a first point of contact for staff and visitors, and assisting with reception, meeting support, office services, and general facilities tasks.
Key Responsibilities:
Reception & Front Desk Support:
- Greet and check in visitors in a professional, friendly manner
- Answer and route incoming calls and messages
- Assist with managing shared equipment and general office resources
- Coordinate incoming and outgoing mail, packages, shipping labels, and courier pickups
Meeting & Conference Room Support:
- Make sure conference and meeting rooms are set up, tidy, and stocked with basic supplies and equipment
- Arrange catering for internal meetings and special events as needed
- Perform basic checks on meeting room equipment (tables/chairs, screens, lighting, temperature) and report issues
- Monitor room usage and communicate with employees about meeting needs, changes, and special requests
Facilities & Office Operations:
- Conduct regular walkthroughs of the office to identify maintenance, repair, or housekeeping needs
- Report facilities issues (lighting, furniture, basic equipment, etc.) to the Facilities/Office Manager or through internal ticketing channels
- Help coordinate workstation moves, seating changes, and minor space adjustments
- Support general office organization, storage coordination, and ensuring common areas remain clean and presentable
- Respond to facilities-related emails and internal requests in a timely, service-oriented manner
Qualifications:
- Previous office experience required; prior facilities or office services experience strongly preferred
- Experience setting up conference rooms or meeting spaces is a plus
- Comfortable working in a fast-paced, corporate environment; experience in professional services, architecture, design, engineering, or real estate–related industries is a bonus
- Prior background in administrative, receptionist, or customer service roles is helpful
- Ability to stand and walk for extended periods during the day
- Ability to lift up to 50 lbs., and occasionally more with assistance
- Strong attention to detail with the ability to juggle multiple tasks and deadlines
- Proactive, “get-it-done” mindset with a willingness to learn and step in where needed
- Clear, professional verbal and written communication skills
- General understanding or interest in facilities/office management is preferred

- 100% on-site role in a central, downtown Chicago office

- Target start date is early December (flexible for the right candidate)
- Contract position with potential for permanent hire based on performance and business needs
