Proposal Coordinator
This position requires contributing to the proposal process, partnering with marketing, administrative, and technical staff. Under the supervision of the Proposal Manager, this role will be responsible for day-to-day marketing support through organizing and coordinating activities involved in the preparation of marketing proposals, qualifications packages, and submittals including DOT and municipal agency prequalifications.
Responsibilities
- Contribute to proposal process from opportunity to “win”.
- Contribute to the creation and maintenance of marketing materials.
- Contribute to the management of pursuit related data within internal CRM databases (VantagePoint).
- Conduct lead finding efforts and lead opportunity management.
- Coordinate, prepare, and support technical and corporate staff on presentations, proposals, and qualifications. This may include:
• Review RFP and RFQ request documents to ensure client requirements are clearly understood.
• Prepare proposal outlines, lead proposal team kickoff meetings, and assign deadlines for document development, reviews, production, and delivery.
• Organize all technical written material supplied by proposal contributors including written content, tables, graphs, images, exhibits, and attachments.
• Ensure responsiveness to RFP/RFQ, thoroughness, accuracy, and quality using a persuasive and active-voice writing style.
• Update marketing collateral as needed.
