Receptionist

Overview:

The Receptionist serves as a primary customer service representative for CB&I and is responsible for greeting and assisting visitors and employees at the main entrance. In addition to front‑desk responsibilities, the Receptionist provides support to Facilities through participation in event planning, scheduling, and coordination of various CB&I activities and functions.

This position is an individual contributor role reporting directly to the Facilities Manager. The role requires regular interaction with the Facilities team, Human Resources, facility vendors, and employees across the organization.

Responsibilities:

• Professionally and warmly greet visitors and employees at the main entrance.
• Answer multiple incoming phone lines
• Manage and maintain visitor log
• Maintain clean, professional and organized front office
• Create and issue visitor and employee badges as needed
• Assist with coordination of visitor/employee travel as needed (included: booking flight, reserving hotels, arranging car rentals and/or shuttle rides)
• Assist with end‑to‑end event planning, including catering requests, logistical coordination, office relocations, conference room setup, reservation management,
• Manage work order submissions and updates to floor plan databases.
• Ensure regular monitoring and maintenance of office inventory levels, placing orders as needed.
• Manage FedEx and other mail request incoming/outgoing through the office mailroom.
• Track office expenses, review invoices and submit invoices for payment and assist with record retention account.
• Assist as needed with facility related requests including deliveries, and interoffice move requests
• Perform various clerical duties as assigned (i.e., filing, typing correspondences, mailing, replying to emails, booking conference rooms, assisting with travel arrangements)

Qualifications:

• Proficiency in Microsoft Office Suite
• Hand-on experience with office equipment (fax machines, printers, copiers, postage machine) preferred
• Demonstrates professional conduct
• Strong communicative abilities
• Maintains an approachable demeanor while delivering high‑quality customer service
• Muti-tasking and time-management skills
