Administrative Assistant/Bookkeeper
Job Overview
We are seeking a detail-oriented and organized Administrative Assistant/Bookkeeper to join our team. This role is essential for maintaining accurate financial records, supporting accounting functions, and ensuring smooth administrative operations. The ideal candidate will have a strong background in accounting principles, proficiency with various accounting software and Microsoft software such as Excel and Word, and excellent organizational skills. Responsibilities
- Serve as the first point of contact for the Road District in answering phones, emails, and with vendors and residents.
- Assist and support Highway Commissioner in all aspects of his job.
- Maintain organized documentation of all financial transactions and administrative records.
- Manage day-to-day bookkeeping tasks including accounts payable and receivable, bank reconciliations, and journal entries.
- Maintain and update financial records using QuickBooks accounting software
- Perform general ledger accounting and balance sheet reconciliation to ensure accuracy and compliance with governmental standards.
- Prepare financial and board reports.
- Prepare payroll and employee tax-related documents.
- Conduct account analysis and account reconciliation to ensure data integrity across all financial systems.
- Ensure compliance with governmental accounting standards and regulations for governmental entity as applicable.
- Collaborate with external auditors during audits and provide necessary documentation.
Skills
- Strong attention to detail and accuracy in data entry (including 10 key typing).
- Strong people serving skills as the first point of contact for the Road District exhibiting precision and integrity while working with peers, board members, and our electors.
- Proficiency in accounting QuickBooks software.
- Strong understanding of accounting principles, double entry bookkeeping, debits & credits, journal entries, and general ledger accounting.
- Experience with bank reconciliation, account reconciliation, accounts payable/receivable, and payroll processing.
- Knowledge of governmental accounting standards.
- Ability to perform balance sheet reconciliation and general ledger reconciliation accurately.
- Familiarity with financial concepts such as levies, budgeting, and financial reports.
- Excellent organizational skills with the ability to manage multiple tasks efficiently.
- Flexibility and ability to multitask.
Pay: $18.00 - $22.00 per hour
Expected hours: 35.0 per week
