Administrative Assistant to the Dean of Students
- Requires a Bachelor degree
- Minimum of 3-5 years experience in an administrative assistant/secretarial role, experience working in a high school setting is preferred.
- Superior time management and organizational skills. Organization and high attention to detail and calendaring is essential.
- Ability to handle a number of tasks of a diverse nature simultaneously with frequent interruptions.
- Ability to deal effectively and tactfully with faculty, staff, students, and parents.
- Ability to anticipate the needs of the administrative team and work independently towards objectives with a sense of urgency, adapting to priorities accordingly.
- Outstanding written and verbal communication skills. Ability to draft memos and letters is essential.
- Expertise and skill using Google Suites, Microsoft Word, Microsoft Excel, Adobe, Power Point, and various aspects other computer software and technological products.
- Ability to learn database management systems.
- Sensitivity to confidential matters is required.
- Responsible for Dean of Students' calendar management.
- Schedules and coordinates dean's appointments and coordinates and oversees daily/weekly office activities.
- Reviews Dean of Students' schedule daily to identify items to be prepared in preparation for meetings.
- Assists with reserving meeting spaces within and outside of the Loyola Campus, ordering catering, etc.
- Demonstrates proficiency in identifying critical action items for the Deans.
- Prepares various correspondence, reports, files, forms, etc. for the Principal's Office.
- Promptness related to answering email and telephone calls and attending to all business related needs of the Deans in a highly effective and efficient manner.
- Composes and prepares written documentation and correspondence for the office; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate.
- Manages and coordinates activities (e.g. meetings, school events, disciplinary meetings, etc.).
- Maintains a warm, welcoming and friendly office environment.
- Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office.
- Coordinates and oversees the day-to-day management of supplies, equipment, and facilities for the Dean's office.
- Enhances professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops.
- Providing database support to the Dean's office, including the recording of student disciplinary issues (detentions, suspensions, truancies, incidence reports, etc.)
- Oversee administrative responsibilities regarding parking, parking permits, parking budget, etc. within the Loyola Academy Campus.
