Administrative and Billing Specialist
The mission of Illuminate Therapy and Wellness is to provide quality mental health counseling to individuals, couples, families, and groups, in an integrative treatment setting that promotes optimal well-being for the mind, body, and soul. We are seeking a full-time, friendly, organized, detail-oriented and dedicated professional to join our team in an administrative role. In this fast-paced role, they will perform a variety of administrative functions, as well as act as an intake coordinator, and credentialing, and billing specialist. The role will primarily report to the company owners and support 8 clinicians within the office. This position requires flexibility and a willingness to take on varied tasks in a small work environment. A successful candidate will enjoy a rewarding, wellness focused work environment supporting the mental and emotional health needs of our clients.
Overall Office Manager Duties:
- Provide excellent customer service and empathic communication via face-to-face interactions, and in verbal and written communication with clients, clinicians, and collateral contacts.
- Appropriately handle all incoming calls and correspondence in a professional and timely manner.
- Update and maintain all office policies according to company procedures.
- Maintain files, making sure that all documentation is filed properly and in HIPAA accordance.
- Complete special or general office projects as directed.
- Assist with onboarding of new clinicians as needed.
- Support general marketing efforts as needed.
- Attends weekly meetings with the owners and monthly group team meetings.
- Perform additional administrative duties as assigned
Intake Coordinator Duties:
- Answer any inquiries for potential clients, via phone or email.
- Match and secure client appointments with the appropriate clinician in a timely manner.
- Obtain and input client's demographic and insurance information into the EHR practice management system.
- Communicate information regarding, and assist clients with, accessing and utilizing their client portal.
- Collect intake paperwork, ensuring it is complete and all forms are signed properly.
- Maintain empathic contact with the clients to assess level of satisfaction, as well as to find opportunities to enhance their experience.
Credentialing Specialist Duties:
- Ensure verification of benefit and eligibility information obtained from payer/insurance company is accurate.
- Obtain authorization from insurance company as needed.
- Communicate information to clients regarding their insurance coverage, benefits allowed, and payments expected at each session.
- Provide regular communication with clients regarding their account balances, collecting payments as needed.
- Investigate and stay current with the most recent insurance policies.
- EOB posting to practice management system.
- Provide clients with statements, superbills, and payment receipts as needed/requested by the client.
- Maintain confidentiality and HIPAA compliance
- Maintain accurate provider CAQH database profiles and update as needed in a timely manner according to the schedule published by CMS.
- Complete credentialing of new providers and re-credentialing applications with commercial payers as needed.
Knowledge/Skills/Abilities/Qualifications:
- Excellent verbal, active listening, communication and self-awareness skills.
- Proven history of providing client-centric care.
- Experience and knowledge of various insurance plans.
- Self-motivated with the willingness to work independently, take initiative and have excellent follow-through.
- Excellent computer skills, including Microsoft Excel & Word, Google Workspace, and Internet use.
- Detail oriented, highly organized, committed to accuracy.
- Compassionate, collaborative team player who connects positively with others.

Experience:
Medical Billing - minimum 3 years
Insurance Credentialing - minimum 3 years
Experience working within mental health or medical practice a plus
Minimum Associates Degree, College degree a plus
Minimum of 5 years in Office Administrative role
Pay:
Commensurate with experience and education, Starting yearly salary $45,000-$50,000.
