Job Summary
This position, as an integral part of the College of Fine and Applied Arts (FAA) advancement team, has broad responsibilities related to the college's and university's comprehensive fundraising and constituent engagement program. The position works to develop, implement, and execute advancement activities to advance efforts in engaging with major and principal gift prospects and donors.Duties & Responsibilities
- Plan, organize, and execute core FAA advancement events that include the annual FAA Legacy Awards, Homecoming, “FAA On The Road” alumni events, the “I The Arts” student philanthropy program, and other regional college events.
- Assist with the planning and execution of other FAA and/or unit specific events as needed and requested by Assistant Dean for Advancement and FAA Dean, and in consultation with other college administrative staff.
- Collaborate with the Associate Dean for Advancement, FAA leadership, faculty, staff, and various campus and alumni offices to coordinate event logistics and ensure successful execution.
- Support the management of volunteer leadership groups, councils, and advisory boards, the FAA Student Philanthropy Board, and contributing to alumni and donor engagement strategies.
- Provide support for social media and communications, develop and implement stewardship and donor relations activities, and serve as a liaison for campus visitors to ensure effective cultivation and engagement strategies.
- Manage and maintain data in the University of Illinois donor database (TED), including organizing records, preparing reports, and providing briefings on FAA advancement activities, metrics, and outcomes for campus leadership and advancement staff.
- Collaborate with the Associate Dean for Advancement and colleagues in stewardship, donor relations, and communications to gather and share information that supports both internal and external advancement operations.
- Prepare background materials for major gift proposals, compiling donor and prospect information in partnership with advancement officers, and ensuring all alumni and constituent interactions are accurately and confidentially documented in the database.
Minimum Qualifications
- Bachelor’s degree in Hospitality, Marketing, Public Relations, Communications, Business Administration, Student Affairs, or a closely related field.
- One year (12 months) of professional work experience in Events Planning, Conference Management, Public Relations, Communications, Marketing, or any other related field.
- Demonstrated experience preparing and/or managing reports, analyses, and/or data information.
Preferred Qualifications
- Experience working in advancement or alumni relations in a higher education environment.
- Advancement-related work experience.
Knowledge, Skills and Abilities
- Strong communication skills, and exemplary attention to detail.
- Ability to create, manage, and maintain relationships.
- Ability to work independently and as part of a team.
- Proficiency with Microsoft Word, Excel, Powerpoint, Teams and Zoom. Proficiency with, or ability to learn, University applications, such as the donor database (TED); and familiarity with social media tools.
- Demonstrated interest and passion for the arts and arts industry.
Appointment Information
This is a 100% full-time Civil Service 5009 - Events Administrator Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 12/1/2025. The salary range for the is position is $50,000 - $55,000 annual. Final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints.
