Job Summary
Provides high-level administrative support to the AVC/ED of the Research Park and EnterpriseWorks, as well as the Director of Entrepreneurship (DoE) and Associate Director of Operations (ADO). Oversee administrative functions with professionalism, judgment, and discretion while fostering strong stakeholder relationships. The Research Park/EnterpriseWorks serves 2,000+ individuals, advancing innovation, corporate engagement, and economic development for Illinois.Duties & Responsibilities
- Executive Support:
- Responsible for the day-to-day workflow of the AVC/ED, DoE, and ADO with complex calendar management, exercising independent judgement and initiative in determining priorities and deadlines, organizing, and providing appropriate meeting correspondence.
- Provide primary, high-level administrative support using extensive knowledge of the UIRP and EW to the AVC/ED, DoE, and ADO.
- Work closely with the AVC/ED and DoE to support the planning, organization, and implementation of department–level strategic priorities and initiatives.
- Manage a complex workflow for department initiatives, including scheduling activities based on need and importance and setting priorities to ensure efficient coordination of activities.
- Manage the complex workflows as directed, keeping abreast of all issues so that matters are handled appropriately with discretion and strict confidentiality. Schedule activities based on need and importance. Establish priorities to ensure efficient coordination of activities.
- Office Administration:
- Act as the initial point of contact for the AVC/ED and DoE providing high levels of customer service. Serve as an integral communication intake point and first point of contact for the department. Provide exceptional telephone and email support with a high degree of tact and technical knowledge.
- Serve as primary P and T-Card holder with the responsibility of applying appropriate expenses in relation to executive leadership and support. Coordinate travel, reconcile charges, conference registration, and/or process reimbursements in the applicable campus system.
- Prepare agendas, coordinate catering for meetings with external visitors ranging from government officials to international delegations.
- Maintain proper office functions, including supplies, furniture, and other resources as necessary.
- Interpret inquiries and forwards to appropriate responsible parties.

- Establish and maintain effective working relationships in a manner consistent with a workplace of dignity and respect.

- Perform other related duties or projects as assigned.
Additional Physical Demands
Ability to multi-task and work in a fast-paced environment with continuous interruptions and background noise. Some light lifting is required.Minimum Qualifications
1. High school graduation or equivalent.
2. Any one or any combination totaling five (5) years (60 months) from the following categories:
A. college course work in business, finance, accounting or a related field:
- 60 semester hours or an Associate's degree equals one (1) year (12 months)
- 90 semester hours equals two (2) years (24 months)
- 120 semester hours or a Bachelor's degree equals three (3) years (36 months)
- Master's degree or higher equals four (4) years (48 months)
B. progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles
Preferred Qualifications
- Associate degree in Applied Science or related field.
- Experience in office administration or professional support.

Knowledge, Skills and Abilities
- Superior written and verbal communication skills.
- Ability to interact comfortably with a wide range of individuals ranging from students to high-ranking government officials.
- Knowledge of University administrative systems including Emburse and iBuy.
- Knowledge of Campus and University policies and procedures.
- Solid command of Microsoft Office suite.
- Ability to troubleshoot office equipment including printers, copiers, portable A/V equipment.
Appointment Information
This is a 100% full-time Civil Service 0058 - Administrative Aide position, appointed on a 12-month basis. The expected start date is as soon as possible after the close date. The budgeted salary range for the position is $50,000 to $55,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
